The Accounting and Food Program Supervisor is a hybrid role responsible for supporting the Chief Operating Officer with daily accounting operations while managing the organization’s food programs, including Harvest, Food Hub, and federal nutrition initiatives (CACFP / SFSP). This position ensures financial accuracy, regulatory compliance, and effective program delivery. This employee needs to be detail-oriented, highly organized, and capable of balancing accounting responsibilities with program management and staff supervision.
Key Responsibilities
Accounting Support
- Provide organized support to the Chief Operating Officer in financial operations.
- Perform timely and accurate financial data entry into the accounting system.
- Manage accounts payable and accounts receivable processes.
- Maintain compliance with established accounting controls, best practices, and organizational policies and procedures.
- Maintain confidentiality with sensitive financial information.
Food Program Management
Harvest Program
Learn and oversee the Harvest program’s goals and operations.Maintain strong relationships with community partners through quarterly check-ins.Coordinate weekly pickups with sites and keep accurate records of distribution and usage.Food Hub Operations
Responsible for supervising Food Hub staff, including creating staff schedules, approving timecards and leave requests, and assigning tasks.Oversee daily food deliveries and partner with site coordinators on food-related needs.Monitor and adjust food counts to reduce excess and improve efficiency.Develop menus in line with CACFP / SFSP regulations and budget requirements.Order food weekly and ensure accurate daily inventory tracking.Monitor consumption, spoilage, and “bring backs,” making adjustments to reduce waste and maintaining controls and accurate tracking.Conduct quarterly physical inventory counts.Maintain cleanliness of prep tables, garbage areas, vehicles and overall facility.Child and Adult Care Food Program / Summer Food Service Program Compliance
Complete all required CACFP / SFSP training and ensure staff compliance.Conduct snack audits and ensure regulatory compliance.Prepare and submit grant applications and monthly reimbursement requests.Monitor snack tracking systems for accuracy and timeliness.Requirements : Qualifications
Associate’s degree in Accounting, Business, or related field (preferred).Experience with accounting operations and / or nonprofit financial management.Knowledge of CACFP / SFSP or similar food / nutrition programs strongly preferred.Proficiency with Quickbooks and Microsoft Office Suite.Supervisory and scheduling experience.Skills
Strong organizational and multitasking abilities.Excellent communication and relationship-building skills.Demonstrates the ability to look beyond assigned tasks to identify opportunities for improvement, streamline processes, and enhance overall outcomes.
