- You are required to report into the Mosaic office in Renton, WA twice a week. This role also requires travel to events (~up to 50%).
Position Overview
The Marketing Event Coordinator will support the execution of marketing events, trade shows, and digital or direct campaigns. This role will collaborate across teams to plan, coordinate, and execute marketing and companywide events while also supporting other marketing / business developments initiatives as needed.
The ideal candidate thrives in a fast-paced environment, has strong organizational skills, and is passionate about creating memorable experiences that drive engagement and brand awareness.
Roles and Responsibilities
The responsibilities of the Marketing Event Coordinator role are as follows :
Efficiently manage the tradeshow calendar, coordinating all aspects of logistics, including event registration, travel, and hotel arrangements.Support company and industry events by overseeing contacts, schedules, and shipping logistics.Assist in developing and executing regional marketing programs and campaigns, ensuring smooth project traffic between internal stakeholders, contributors, and external vendors.Facilitate the execution of sales meetings / internal & external events by providing administrative support, including notetaking, catering coordination, and hotel / travel arrangements.Collaborate with Marketing Content Coordinator to support marketing campaigns planning, coordination, and execution.Build and maintain relationships with prospects, customers, and industry partners.Assist in research target clients, industries, and markets to inform outreach strategies.Monitor project budgets, process invoices, track spending, and maintain accurate historical records of events and campaign costs.Maintain and update a marketing calendar, effectively communicating plans, project statuses, and updates to marketing and sales teams.Participate as part of the Mosaic team at conferences and events, representing the company professionally.Provide research, ad hoc project support, and coordination for marketing and sales teams as needed.Proactively establish and maintain effective working relationships with all internal departments and external partners.Stay current on industry trends, best practices, and marketing innovations through ongoing education and trade publications.Adhere to all company policies and procedures while maintaining professional relationships that reflect the organizations core values.To effectively respond to team and business goals, roles and responsibilities will vary and may include additional responsibilities not listed.
Skills and Experience
Experience with automated marketing systems (e.g., MS Office, Salesforce, Monday.com) and online meeting tools (e.g., Webex).Prior experience in event planning / coordination.Strong ability to multi-task, prioritize, and meet deadlines in a fast-paced environment.Excellent organizational and project management skills.Strong verbal and written communication skills suitable for a professional business setting.Ability to collaborate effectively with individuals at all levels of the organization.High sense of urgency and ability to perform well under pressure.Positive, can-do attitude and willingness to take initiative.Exceptional attention to detail and proofreading skills.Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.Equal Opportunity Employer Mosaic is proud to be an equal-opportunity employer. The compensation range considers a wide range of factors that are considered in making hiring and compensation decisions. These factors include, but are not limited to candidate skill set, consulting experience, training and education, competencies, and other business and organizational needs. Compensation decisions are dependent on the facts and circumstances of each case. Mosaic strives to set salaries at, or near the 50th percentile (midpoint) of the range and it is not typical for candidates to be hired at or near the top of the range for the position. A reasonable estimate for this position is $80,000-95,000 annually. This position is eligible to participate in a discretionary bonus program of up to 5% of annual compensation. The bonus program is dependent on a variety of factors including organizational and individual performance.
