Legal and Office Operations Manager (Estate Planning Focus)
We are seeking a highly organized, proactive, and versatile professional to join our team as a Legal and Office Manager . This unique hybrid position is critical to the smooth functioning of our firm, combining the essential legal support functions of an Estate Planning Paralegal with the administrative oversight and leadership of an Office Manager . The ideal candidate thrives in a fast-paced environment, possesses strong knowledge of estate planning processes, and is a natural leader and problem-solver.
Compensation : $50,000 - $65,000
Responsibilities :
Estate Planning Paralegal Duties
- Drafting and Document Preparation : Assist attorneys with drafting standard estate planning documents, including Wills, Trusts, Powers of Attorney, Advance Directives, and ancillary documents, ensuring accuracy and adherence to attorney specifications.
- Client Intake and Asset Management : Organize and summarize client financial and family information. Assist in gathering, inventorying, and tracking client assets and beneficiary information for funding purposes.
- Trust Funding & Administration : Manage the critical process of trust funding , including preparing and filing necessary deeds, transfer documents, and corporate assignments to retitle assets into trusts.
- Probate and Trust Administration Support : Assist with probate filings, prepare court documents, manage deadlines, and help with post-death administration tasks such as preparing inventories, accountings, and distribution letters.
- Document Finalization and Execution : Coordinate and schedule document signing meetings (closings), ensuring all documents are executed correctly, notarized, and organized for the client.
- Client Communication : Serve as a knowledgeable and empathetic point of contact for clients throughout the estate planning and administration process, handling inquiries and gathering necessary information.
- System Maintenance : Maintain and update the firm's document management system and estate planning software (e.g., FileVine) with current forms and client data.
Office Manager Duties
Administrative Oversight : Manage the day-to-day operations of the office, ensuring a clean, organized, and efficient working environment for all staff.Supply and Vendor Management : Monitor and maintain office inventory (supplies, equipment, furniture), manage relationships with vendors (IT, maintenance, cleaning), and negotiate contracts for services.HR Support : Assist with benefits administration and maintain confidential personnel files.Team Leadership : Onboard new employees, coordinate staff meetings, manage scheduling, and implement and enforce office policies and procedures.Qualifications :
Experience : Minimum of 3-5 years of experience in an estate planning or probate law firm, with significant experience as a paralegal directly supporting estate planning attorneys. Previous office management experience is highly desirable.Education : Bachelor's degree preferred. Paralegal certification or equivalent training is required.Specific Knowledge : Strong working knowledge of estate planning documents, trust funding procedures, and basic probate / trust administration processes.Technical Skills : Proficient with legal practice management software, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and ideally, estate planning software.Core Competencies :Exceptional Organization and Multitasking : Proven ability to manage complex projects, juggle competing priorities, and meet tight deadlines with meticulous attention to detail.Strong Communication : Excellent verbal and written communication skills, capable of interacting empathically and professionally with clients who may be experiencing sensitive life transitions.Proactive Problem-Solving : A self-starter who can anticipate needs and issues and take initiative to resolve them independently.Discretion : Proven ability to handle sensitive client financial and personal information with the utmost confidentiality and professionalism.About Company
