Position Information

The Sonoma Water Clerical Support Supervisorworks as part of a collaborative team, with your main focus on supervising the clerical team and coordinating the board item submittal process for the department. As the leader of a team of four Senior Office Assistants, you will provide clerical staff guidance, including training, performance evaluations, goal setting, and schedule management. Additional responsibilities include :

  • Developing and updating clerical procedures and communicating process improvements effectively to enhance efficiency
  • Coordinating the Board item internal review and submittal processes in Legistar, the County's primary agenda content management software
  • Relaying Board item-related information, updates, and future Board item details to staff from the County Administrator's Office
  • Provide as-needed training to new staff on the Board item submittal process
  • Collaborate with administrative staff to develop and refine procedures, instructions, and internal user forms

To effectively support the department's clerical functions and board item responsibilities, our ideal candidate will be detail-oriented, tactful, and a great communicator. They will have an interest in researching data and building good working relationships, and they will also possess many of the following :

  • Experience coordinating and tracking tasks
  • Familiarity with the County agenda process
  • Proven ability to balance multiple priority projects simultaneously
  • Excellent organization and interpersonal skills
  • Supervisory experience
  • Intermediate skills in Microsoft Office Suite, with advanced skills in Acrobat, and the desire to learn new software
  • Familiarity with Legistar (or similar software system) is desired, but not required

    Sonoma Water is a special district formed by the California State Legislature in 1949 and is responsible for providing a safe and reliable water supply to its customers in Sonoma and Marin counties. Sonoma Water also maintains 75 miles of flood control channels and provides sanitation services.   • Sonoma Water is currently recruiting to fill a Clerical Support Supervisor position. This employment list may also be used to fill future full-time, part-time, or extra-help (temporary) positions as they occur during the active status of the list.     Minimum Qualifications

    Experience : Work experience that would provide an opportunity to acquire the knowledge and abilities listed. Normally, some experience related to general administration, accounting, budgetary analysis, or human resources work including the compilation, tabulation, analysis, and presentation of statistical and narrative written reports would provide such opportunity.

    Education : Any combination of course work and training that would provide an opportunity to acquire the knowledge and abilities listed. Normally, academic course work in public administration, business administration, management, accounting, political science, economics, statistics, English composition, psychology or closely related courses would provide such opportunity.

    License : Possession of a valid driver's license at the appropriate level including special endorsements, as required by the State of California, may be required depending upon assignment to perform the essential job functions of the position.

    Knowledge, Skills, and Abilities

    Knowledge of : administrative techniques and principles of organization, accounting, budget and human resources administration; techniques and practices of research methodology, data collection, and preliminary analysis; report writing; application and use of basic statistics; interview techniques sufficient to obtain information related to employment and administrative matters; written and oral communications, including language mechanics, syntax and English composition; modern office methods and procedures; database, spreadsheet and word processing applications including basic methods of graphic presentations.

    Ability to : collect, compile and analyze qualitative and quantitative data; understand and explain laws, regulations and policies governing program operations; communicate effectively orally and in writing; establish and maintain effective working relationships with management, employees, clients, and the public; understand program objectives in relation to departmental goals and procedures; organize and prioritize work assignments; use and understand common database, spreadsheet and word processing applications; learn specialized computer applications.
