  • Job Summary

    The Administrative Coordinator in the Office of Compliance & Risk Management plays an essential role in supporting the Chief Compliance Officer and the Compliance & Enterprise Risk Management (ERM) team at Maricopa Community Colleges, as this position helps keep daily operations running smoothly by coordinating programs, managing projects, and ensuring priorities are handled efficiently in a fast-paced, collaborative environment.

    From maintaining insurance and workers' compensation records to managing internal and external websites, this role supports a wide range of compliance and risk management initiatives. The Administrative Coordinator also enhances workflows, ticketing systems, and knowledge bases to strengthen communication and engagement across the District. This opportunity is ideal for someone who enjoys problem-solving, staying organized, and working with leaders across departments to promote compliance, innovation, and operational excellence at Maricopa Community Colleges.

    Essential Functions

    30% - Provides administrative support to the Chief Compliance Officer and the Compliance & Enterprise Risk Management (ERM) team :

  • Serves as the primary point of contact for internal and external stakeholders across the District.
  • Provides guidance on ERM policies, procedures, and regulations.
  • Coordinates programs and projects, ensuring priorities are handled efficiently.
  • Prepares, proofreads, edits, and verifies documents, reports, and presentations.
  • Organizes and maintains filing and record-keeping systems.
  • Processes requisitions and coordinates related administrative tasks.
  • 20% - Supports Enterprise Risk Management administrative and insurance functions :

  • Assists with intake, tracking, and management of insurance issues, workers' compensation, requests for Certificates of Insurance (COIs), and other ERM-related tasks.
  • Coordinates logistics and tracking for risk assessments.
  • Builds and maintains partnerships with vendors and facilitates collaboration across teams.
  • 20% - Develops correspondence and visual materials :

  • Creates written content and visual materials, including presentations, charts, and diagrams, for reporting and stakeholder communication.
  • Maintains internal and external Compliance & ERM websites to ensure accurate and accessible information.
  • 20% - Coordinates and maintains Compliance and ERM knowledge bases and management tools :

  • Manages knowledge bases, ticketing systems, workflows, and other management tools to enhance operational efficiency.
  • Develops innovative solutions to improve communication and engagement with stakeholders.
  • Researches and compiles information, reviews procedures for compliance, and recommends improvements.
  • Monitors budgets and resolves fiscal discrepancies to support smooth operations.
  • 10% - Performs other duties as assigned.

    Minimum Qualifications

    Associate's Degree from a regionally accredited institution and three years of advanced administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive-level staff.

    An equivalent combination of the conferred degree and directly related full-time work experience as described above, sufficient to successfully perform the essential duties of the job, such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

    Desired Qualifications

  • Minimum of three (3) years of progressively responsible administrative or secretarial experience, preferably within an educational institution, supporting multiple stakeholders.
  • Demonstrated ability to independently gather, evaluate, and summarize relevant information related to departmental initiatives and devise plans for execution.
  • Demonstrated ability to manage multiple priorities with strong organizational and time-management skills; proven success in meeting deadlines in fast-paced environments.
  • Excellent written and verbal communication skills, with a focus on clarity, professionalism, and responsiveness.
  • Strong proficiency in technology tools, including the Google Suite (Docs, Sheets, Slides, Forms), video conferencing platforms (e.g., Google Meet, Zoom, Microsoft Teams), and other digital collaboration tools, web-based applications, and portals.
  • Experience in monitoring budgets, processing requisitions, ordering supplies, and coordinating with vendors.
  • Experience working in administrative or project coordination roles in higher education.
  • Special Working Conditions

  • In-person at the Maricopa Community College District Office location : 2411 West 14th Street, Tempe, AZ 85281.
  • One to two days per week remote (maybe subject to change).
  • Work Schedule Varies; may be required to work evenings and weekends
  • May be required to sit for a prolonged period of time, viewing a computer monitor
