Position Summary :
Position Summary : The role of the CAPS Operations Manager serves as a strategic operational leader responsible for administrative excellence, data-driven decision making, and comprehensive student support services. This will entail providing administrative assistance and delivering excellent customer service for Career and Academic Planning Services. The primary responsibilities of this position involve overseeing office operational processes to support services associated with advising, transfer advising, and career service. This includes working with Sr. Advisors on CAPS scheduling and managing front office operations. Additionally, this position will oversee (PTVS) personnel and FWS students who support office functions such as the front desk check in area, computer registration lab, and other support functions. The CAPS Operations Manager will also work with the Director of CAPS on budgeting functions for the department. The CAPS Operations Manager should possess exceptional customer service abilities, effective verbal and written communication skills, keen attention to detail, a proactive and initiative-driven mindset, and a commitment to maintaining the confidentiality of sensitive information. The CAPS Operations Manager should also demonstrate adaptability to embrace technological advancements and changes in business processes. The ability to effectively organize, manage, and prioritize multiple projects is crucial for this role. By supporting enrollment, retention, and completion initiatives of the College, this position plays a vital role in fostering student success. This position may use varying styles and approaches that reflect an understanding and acceptance of the role of culture in a diverse, multicultural workplace.
Essential Duties and Responsibilities :
The following are the functions essential to performing this job : 1. Deliver exceptional customer support to a diverse range of individuals, including administrators, faculty, students, visitors, and callers while managing complex operational processes the support advising, transfer services, and career development.2. Recruit, train, and supervise PTVS workers and FWS office assistant students who aid with guest check-in, advising preparation, and registration.3. Provide management of budget processes, inventory, and reports in collaboration with the Director of CAPS.4. Collect, analyze and interpret department data using office check-in systems, Student Information System (SIS), PeopleSoft, Navigate, and other data collection platforms. Generate comprehensive reports on student engagement, service utilization, and departmental outcomes to inform strategic planning. Develop data visualization and analytical reports to support evidence-based decision making, as well as track and analyze trends in student advising patterns.5. Prepare routine correspondence, requests for information, monthly / annual reports, and budget reports.6. Working with the front operations staff, model excellence in assisting students in pre-advising, registration, and enrollment processes.7. Contribute to marketing and communication campaigns related to advising.8. Management of staff schedules and daily office operations in collaboration with the Senior Advisors and Director9. Order and maintain office supplies and support materials for Career and Academic PlanningServices10. Maintain comprehensive knowledge of academic policies, procedures, College-wide business processes, and FERPA regulations.11. Provide technical support for any Career and Academic Planning Services sponsored workshops, outreach, and events.12. Support various College initiatives focused on enrollment, retention, and completion.13. Performs other duties as assigned.
Required Minimum Qualifications :
1. High School diploma plus 10 years of relevant experience in departmental operations, budget management, and complex reporting.2. Customer service experience3. Proficiency in Microsoft Office4. Training and supervision experience5. Budget management
Desired Qualifications :
1. Bachelor’s Degree 2. Advanced proficiency in Microsoft Office and data systems. 3. Two (2) years of experience in administrative support in a college workplace 4. Experience collecting data and generating complex reports (PeopleSoft, and Navigate) 5. Budget, departmental operations, training and supervision of front-line staff.
Work Schedule :
8 : 30-4 : 30 Monday to Friday
Occasional Mondays and Thursdays until 6 : 00pm during peak periods, with schedule adjusted as necessary
