The Collections Specialist is primarily responsible for the collections of receivables to ensure timely payments while building and maintaining positive customer relationships. The Collections Specialist position requires strong communication and organizational skills and the ability to resolve payment issues. The Collections Specialist must have the ability to work independently and in a team environment, have attention to detail, and effectively communicate with internal and external customers

Essential Functions :
This description is intended to be illustrative of the major duties performed by the employee assigned to this position.
Monitor and manage assigned accounts to identify and collect past due balances in accordance with Company policy and the collections process.Contact customers via phone and emailReconcile accounts and research / resolve payment discrepancies- ie : mis-posted and misapplied paymentsMaintain accurate and detailed notes of collection activities, customer communications and Promise-to-Pays.Prepare collection status aging reports tracking progress toward collection goalsCollaborate with billing, commercial, and customer service teams to resolve account issuesProvide excellent customer service while supporting collection targetsEscalate delinquent accounts in accordance with the Escalation Process outlined in the SOPAssist with emailing monthly statementsReview and process new customer account applications as neededWork with the Cash Applications team as needed to support the application of payments, including ACH, checks and credit cards.Assist with the resolution of unapplied payments
Assist with the Accounts Receivable email account and ensuring timely responses to requestsSupport month-end close and audits as neededSupport the Accounts Receivable team when and where neededMaintain accurate documentation of customer records in SalesPadPerform standard operating procedures with forms, and quality control activities including document retentionOther duties as assigned.Supervisory Responsibilities :

Associates degree in relevant field or equivalent experience.2 years in B2B collectionsStrong analytical and problem-solving skillsAbility to effectively work both independently and in a team environmentWillingness to contribute to process improvementEffective performance under pressure in a fast-paced environmentManagement of time and adherence to deadlines and KPIsExcellent organizational skills and attention to detailAbility to foster internal and external customer relationshipsAbility to maintain an organized workstation, in office and remoteUnderstanding of 503B regulatory requirements, cGMP standards, and USP guidelines is a plus!Proficient written, verbal and oral English communication skills are required.Proficiency with Microsoft 365 tools including Outlook, Microsoft, and Excel.Experience with Microsoft Dynamics Great Plains and SalesPad a plusPhysical Requirements :
Ability to stand or sit for extended periods of time.Ability to lift, push and pull up to 50 pounds periodically.Benefits :
