Spare Parts Clerk – Join Our Team!

Are you highly organized, detail-driven, and enjoy working with customers? We're looking for a Spare Parts Clerk to manage the full lifecycle of spare parts orders-from customer inquiry to shipment. In this full time role, you will perform basic administrative tasks in an engaging office environment. Your starter tasks will include being the go-to person for quotes, order tracking, and customer updates, ensuring that every order is handled smoothly and efficiently.

What You'll Do :

  • Be the first point of contact for customer RFQs and set up opportunities in Salesforce.
  • Send professional quotes to customers and provide timely status updates.
  • Prepare and issue quotes by analyzing purchasing history, working with suppliers, and collaborating with the machine shop to estimate costs.
  • Draft detailed quote writeups and send finalized quotes to customers.
  • Receive and process purchase orders from customers.
  • Coordinate the purchasing, fabrication, and assembly of parts and materials.
  • Track and organize incoming items to ensure accurate and on-time order completion.
  • Prepare and ship orders to customers, ensuring accuracy and proper documentation.
  • Collaborate with front office staff in answering phones and directing calls as needed.

What We're Looking For :

  • Experience in customer service and supply chain, or parts coordination a plus.
  • Proficiency in Microsoft office, outlook, excel, and word.
  • Proficiency in Salesforce or similar CRM platforms a plus.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with strong problem-solving abilities.
  • Ability to collaborate effectively with suppliers, machine shop, and internal teams.

    • Physical Demands

  • Normal office environment, primarily working in a sitting position.
  • Must be able to lift up to 25 pounds occasionally to be able to help execute employee events.
  • Stand, walk, push, pull, reach overhead, and bend to floor.
  • Ability to climb up and down stairs.
  • Visual and Hearing : Near acuity with or without accommodation
