Our client is a professional full-service general contractor with three locations across California, specializing in retail, commercial, and restaurant construction. We are seeking a Project Coordinator to support Project Managers and ensure seamless execution of multiple construction projects from start to finish.

Key Responsibilities

  • Coordinate, organize, and collaborate with Project Managers throughout the full project lifecycle.
  • Manage daily activities of construction projects and maintain project documentation (electronic & physical).
  • Enter data into Vista software, create project numbers, and track updates.
  • Draft and manage construction subcontracts, issue purchase orders, and review subcontract terms & conditions.
  • Verify subcontractor documentation (licenses, certificates of insurance, qualifications).
  • Assist field teams by working with vendors on material orders, equipment scheduling, and deliveries.
  • Handle lien processes (pre-liens, lien releases) and ensure compliance with requirements.
  • Prepare and review customer invoices, resolve billing issues, and ensure timely submission.
  • Track project costs, assist with budget forecasting, and identify cost-saving measures.
  • Support project planning, scheduling, and resource allocation.
  • Collect project closeout documents (final inspections, as-builts, waivers, warranties).
  • Manage permits, business licenses, and safety documentation.
  • Prepare and organize site dailies, client reports, and permit / safety books.

    • Qualifications

  • 3+ years of experience in the construction industry.
  • Strong knowledge of subcontracting processes, permits, and documentation.
  • Excellent interpersonal, written, and verbal communication skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with Vista software a plus.
  • Strong organizational and time-management skills with the ability to handle multiple priorities in a fast-paced environment.
  • Detail-oriented, resourceful, and proactive problem solver.
  • Demonstrated ability to build and maintain positive professional relationships internally and externally.
