The Role
The Event Coordinator, as directed by the Event Manager, would be a hands-on role to support the planning, coordination and execution of events that reflect Ballerina Farms mission and values, with a particular focus on expanding the agricultural tourism presence in Kamas, Utah. The ideal candidate is a team player who thrives in a fast-paced environment, is comfortable juggling multiple priorities, and enjoys being on the ground making events come to life.
What Youll Do
- Assist the Event Manager with planning and logistics for on-site and off-site events, including company-sponsored events, pop-ups, and brand experiences.
- Coordinate event details such as scheduling, vendor communication, and equipment or supply needs.
- Support prep and day-of-event execution by helping with setup, guest coordination, signage, and breakdown.
- Maintain and update event checklists, timelines, and task trackers to ensure smooth coordination.
- Prepare and organize event materials, signage, and dcor under direction from the Event Manager.
- Collaborate with internal teams (Marketing, Creative, Retail, etc.) to ensure alignment and clarity around event timelines and needs.
- Communicate professionally with vendors, partners, guests, and internal teams to ensure alignment and clarity.
- Serve as on-the-ground support during events to ensure smooth operations and a top-tier guest experience.
- Monitor inventory of event supplies and assist with restocking or ordering when needed.
- Provide general support to the Event Manager and wider team as needed for event-related projects.

Two to four years of experience in event coordination, hospitality, or related fieldComfortable working weekends, evenings, and flexible hours as neededValid drivers license and reliable transportationStrong organizational skills and attention to detailExcellent communication and interpersonal skillsAbility to lift and carry event materials (up to 40 lbs)Proficient in Google Workspace; experience with project management tools (Asana, Canva) is a plusPreferred Skills (Not Required) :
Experience in agri-tourism, farm-based events, or outdoor event environmentsBasic knowledge of vendor contracts or procurement processesCreative eye for event styling and designSchedule Requirements
This is a variable-hours position, averaging 20 hours per week. During peak event seasons and in preparation for major events, hours will increase to 30-40 per week, with potential for overtime.The schedule requires occasional evenings and Saturdays availability.This is a non-exempt (hourly) position.This role is primarily based in Midway and / or Kamas, Utah, with mandatory in-office work on Wednesdays. Remote or at-home work may be possible during slower periods or when completing preparatory tasks.
