Job Description

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Review PO invoices for accuracy, match to PO receivers, and enter data in the ERP system.
  • Secure necessary approval for non-PO invoices and enter data in the ERP system.
  • Review employee expense reports for accounting approval within company policy, enter data in the ERP system.
  • Reconcile vendor statements with internal records to identify missing or duplicate invoices.
  • Audit open AP file weekly in preparation of payment batch processing.
  • Gather all approved vendor invoices due for payment.
  • Assist with preparation of month-end AP accruals.
  • Assist with petty cash reconciliation.
  • Manage accounts payable inbox; physical and virtual.
  • Assist with daily Accounts Receivable invoicing duties, retrieving remittance advice details, uploading invoices to customer portals.
  • Assist with securing copies of all customer debit memos.
  • Transact daily credit card payments.
  • Assist with Processing month end AR Inter-company confirmations.
  • Maintain all accounts payable and accounts receivable files.

This job has no supervisory responsibilities.

Salary Range

The starting annual base pay for the role is between USD $47,000 and $57,000. The actual base is dependent upon many factors, such as training, transferable skills, work experience, business needs, market demands. The base pay range is subject to change and may be modified in the future. The role may also be eligible for variable bonus programs and benefits.

  • Qualifications :

    Education and / or Experience

  • Associate degree (A. A.) or equivalent from two-year College or technical school; or six months to one-year related experience and / or training; or equivalent combination of education and experience.
  • Mathematical Skills

  • Basic addition, subtraction, multiplication, and division.
  • Reasoning Ability

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Computer Skills

  • To perform this job successfully, an individual should have general knowledge of MS Office Word and Excel software. ERP system experience preferred but not required.
  • Certificates, Licenses, Registrations

  • Bookkeeping certification (e.g., CPB, CB) is a plus.
  • Other Skills and Abilities

  • Ability to effectively communicate problems and issues
  • General knowledge of accounts payable and accounts receivable
  • Ability to analyze data and recommend solutions
  • Strong written and verbal communications skills
  • Strong administrative and organizational skills; attention to detail is a must
  • Ability to work independently with minimal supervision
  • Ability to read and comprehend instructions, short correspondence, and memos
