We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support the Director of Compliance and Loan Operations. This role is essential in ensuring the smooth operation of the Association by managing administrative tasks, coordinating communications, assisting with compliance-related documentation, and supporting policy administration. The ideal candidate will be comfortable navigating digital tools and systems to streamline workflows and enhance productivity.
Key Responsibilities
- Provide high-level administrative support to the Director, including calendar management, travel arrangements, and meeting coordination.
- Prepare, proofread, and manage correspondence, reports, and presentations.
- Assist with tracking regulatory changes and deadlines and maintaining compliance documentation.
- Coordinate interdepartmental communications and follow-ups on action items.
- Maintain confidentiality and handle sensitive information with discretion.
- Support project management efforts and assist in preparing materials for audits and reviews.
- Leverage technology platforms to organize tasks, manage documents, and facilitate communication.
- Assist in the development, distribution, and maintenance of policies and procedures.
- Track policy updates and ensure documentation is current and accessible.
- Support internal policy reviews and help coordinate feedback and revisions across teams.
Qualifications
3-5 years proven experience as an executive assistant or in a similar administrative role.Associate Degree in Finance, Accounting, Business, or related field.Strong organizational and time-management skills.Excellent written and verbal communication abilities.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort with learning new software tools.Work independently and manage multiple priorities.Familiarity with loan operations or financial services is a plus.High level of professionalism and discretion.Preferred Skills
Experience in a compliance or regulatory environment.Knowledge of loan documentation and financial terminology.Project coordination experience.Familiarity with digital collaboration tools (e.g., Microsoft Teams, SharePoint, task management platforms).Experience with policy documentation and version control systems.The base salary range for the position is $41,500-56,300 plus variable compensation tied to a general incentive plan. Salary is commensurate with relevant experience and qualifications. Additionally, up to 9% employer contribution to your 401k as part of a full benefits package. Proficient in English and bilingual in Spanish is a plus. This position is not eligible for remote work. Office hours are Monday through Friday 8 : 00 - 5 : 00.
