Behind the Title

As an Operations Associate , you'll play a key role in keeping our office running seamlessly, supporting operational workflows, coordinating resources, and assisting across multiple areas of the firm. You'll also be the friendly face greeting clients, helping ensure every interaction reflects our commitment to professionalism and care.

This role is ideal for someone eager to learn and grow within business operations. Reporting to the Director of Finance and Human Resources, you'll gain hands-on experience across various operational functions, receive mentorship from senior leaders, and develop the skills to advance your career while directly contributing to the efficiency and success of the firm.

The Operations Associate Role at Innovia

Once fully onboarded, you'll take on the following responsibilities :

Operations Support

  • Execute assigned operational processes with professional care and discretion, in areas including hiring and onboarding, expense management, compensation and accounting.
  • Assist in research and analysis of firm-prioritized topics to inform decision-making.
  • Prepare reports, summaries, and presentations, including company and strategy meeting materials.
  • Contribute to playbook development and operational priorities, helping streamline workflows and implement best practices.
  • Support the review and implementation of systems and technology to improve team efficiency and consistency.
  • Collaborate on special projects and cross-functional initiatives, driving innovation and continuous improvement across the firm.
  • Provide calendar management, meeting note-taking and other administrative support for The Director of Finance and Human Resources and the Chief of Staff.

Office Administration

  • Manage office operations and daily upkeep, including maintaining supply inventory, coordinating kitchen and conference room needs, and ensuring common areas are well-organized.
  • Process incoming and outgoing mail, packages, and shipments to ensure timely delivery and distribution.
  • Oversee building and suite access, including parking cards, fobs, and visitor passes.
  • Coordinate company meetings and events, including lunch & learns and special team celebrations.
  • Plan and facilitate community outreach and team-building initiatives, fostering connection and engagement across the firm.
  • Spearhead recognition of team milestones, including birthdays, weddings, babies, and other personal or professional achievements.
  • Build and maintain vendor relationships to support office operations, events, and special projects.
  • Handle service requests for office equipment and appliances, ensuring timely resolution and smooth operations.
  • Client Experience

  • Welcome and greet clients and visitors, ensuring a warm first impression.
  • Manage conference room schedules and help prepare meeting spaces.
  • Answer and direct incoming calls on the main phone line.
  • Support planning and execution of client seminars, marketing events, and in-office gatherings, helping to enhance the overall client experience.
  • Qualifications / Competencies

  • Prior experience in operations, office administration, or a related role.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent interpersonal and communication skills with a client-service mindset.
  • Proactive problem-solver with attention to detail.
  • Comfortable with technology and adaptable to new systems or processes.
  • Bachelor's degree strongly preferred.
