We are retained to provide innovative solutions to complex subsurface issues to support the design of heavy civil infrastructure projects in Transportation, Water / Wastewater, Tunneling, Dams, and Aviation sectors, as well as provide cost-effective solutions for structures, commercial developments, and educational institutions. Job Summary :

We are looking for a highly organized, proactive, and detail-oriented Office Manager to oversee daily operations and administrative functions in our fast-paced engineering office. This role is vital to ensure that our technical teams have the support and infrastructure needed to focus on project delivery and innovation. The ideal candidate will have experience managing office operations in a professional services or engineering environment and be comfortable balancing administrative, personnel, and facility-related responsibilities.

Job Responsibilities & Requirements :

As our Office Manager, you’ll keep the office running smoothly and support daily operations. Your responsibilities include :

Office & Operations Management

  • Manage daily office functions to ensure smooth business operations across engineering, project, and support teams
  • Maintain organized office systems, project meetings, and site coordination
  • Coordinate office maintenance, supplies, and equipment to meet technical staff needs
  • Schedule and transport vehicles for maintenance
  • Filing and updating all fleet digital hard copies

Team & Administrative Support

  • Supervise administrative staff and delegate tasks accordingly
  • Assist with preparation of project documents, reports, and technical submissions
  • Coordinate with technical departments to support scheduling of design reviews, client meetings, and team briefings
  • Timesheet audits when necessary
  • Vendor & Facility Coordination

  • Liaise with building management and service providers (IT, security, facilities, equipment suppliers)
  • Ensure office infrastructure supports engineering operations, including CAD / technical software systems and network setups
  • Oversee procurement of technical supplies and liaise with vendors on specialized equipment needs
  • Financial & Budget Oversight

  • Monitor office budgets, approve purchases, and coordinate with accounting for expense tracking
  • Support invoicing and project billing processes in collaboration with finance and project teams
  • Personnel & Compliance Support

  • Liaise with Human Resources Department to facilitate new hire onboarding
  • Coordinate safety and compliance training required for engineering staff
  • Maintain confidential timesheets and certifications
  • Assist with implementation of health and safety protocols, especially for site-based or hybrid work
  • Process Improvement & Coordination

  • Support the implementation of new administrative tools, platforms, or software
  • Recommend and implement improvements to office processes that streamline project workflows and internal communication
  • Qualifications :

  • Proven experience as an Office Manager or Administrative Lead, preferably in an engineering, construction, or technical environment
  • Strong organizational and multitasking skills with a high attention to detail
  • Excellent interpersonal and communication skills; able to work cross-functionally with technical and non-technical teams
  • Proficiency in MS Office and office / project management tools (e.g., SharePoint, Trello, or similar)
  • Familiarity with engineering project cycles, terminology, or document control systems is a strong advantage
  • Preferred Experience & Skills :

  • 3+ years of office management experience in a technical, engineering, or architectural setting
  • Experience supporting teams using AutoCAD, Revit, or other industry-standard tools (a plus)
  • Knowledge of health and safety requirements and compliance (e.g., OSHA standards)
  • Basic understanding of billing and project documentation processes
  • Bachelor’s degree
