Job Title : Contractor Travel and Relations Coordinator
Location : Lenexa, KS 66219
Schedule : Monday – Friday, 8 : 00 AM – 5 : 00 PM CST
Pay Rate : $21 / hour
Position Overview
The Contractor Travel and Relations Coordinator is responsible for managing and booking travel accommodations for a network of 7,000+ independent contractors supporting onsite events for the Health and Wellness Services division. This role ensures smooth travel arrangements, enforces travel policies, and provides exceptional customer service to contractors. In addition, the position supports contractors with field-related inquiries and collaborates with the Event Specialist team to assist with staffing and administrative tasks as needed.
Duties and Responsibilities
- Manage and book all travel accommodations for independent contractors, including sending itineraries via email using 3rd-party vendor platforms.
- Handle changes, addendums, refunds, and cancellations for subcontractor travel.
- Ensure compliance with corporate travel standards, budget guidelines, and quality requirements for accommodations.
- Partner with travel vendors (e.g., Hertz, Avis) and enforce corporate flight agreements before booking airfare.
- Utilize the corporate credit card for travel bookings and maintain accurate purchase records, including a master tracking grid for reconciliation.
- Manage budgets in coordination with the Program Management team, including invoicing and monthly reconciliation.
- Provide after-hours support for urgent travel escalations or fixes.
- Assist contractors with questions regarding scheduled assignments or portal access.
- Support the Event Specialist team with scheduling contractors for clinic assignments.
- Collaborate with Health and Wellness Staffing team members on new projects or seasonal assignments as needed.
Qualifications
Education : Bachelor’s degree preferred, or equivalent experience.Experience : 1–3 years of relevant experience; prior corporate travel coordination / booking experience strongly preferred.Skills & Competencies :Strong customer service skills with excellent written and verbal communication (including phone etiquette).Highly organized with strong attention to detail.Self-motivated, able to manage time effectively, and prioritize multiple responsibilities.Proficient in Microsoft Office applications (Word, Excel).Ability to work collaboratively in a team-oriented environment.Other Requirements :Flexible schedule; must be available for occasional weekends and extended hours.
