Job Summary
The Graduation Coordinator is responsible for overseeing all aspects of graduation, from verifying students’ degree completion to managing commencement preparation and communication. This role ensures accuracy in academic records, provides high-quality service to students, advisors, and faculty, and supports the integrity and efficiency of the graduation process
Job Responsibilities
- Develop and manage graduation timelines, ensuring key milestones such as diploma production, bulk communications, and invitation letters (for visa purposes) are met.
- Serve as the primary resource for students, faculty, and staff regarding degree requirements and graduation-related inquiries.
- Interpret academic policies and regulations as they pertain to graduation eligibility.
- Maintain accurate student records in the enrollment database (CAMS), including degree audits, change of major requests, and policy exceptions.
- Verify and process degree audits for undergraduate and graduate students; ensure accuracy and completeness in collaboration with degree audit specialists.
- Train and oversee degree audit specialists; provide guidance to ensure consistency and compliance with institutional standards.
- Maintain and manage inventory of graduation materials (e.g., diplomas, diploma covers, honor cords, caps and gowns).
- Monitor and update academic program data, including declarations of minors / specializations, internships, and petitions approved by the Academic Standards Committee.
- Collaborate with academic and administrative departments to verify graduation eligibility and ensure students meet all degree requirements.
- Assist in the planning, logistics, and execution of the annual commencement ceremony.
- Ensure compliance with FERPA regulations and maintain confidentiality of all student records.
- Perform general office duties, distribute graduation-related materials, and support the Registrar’s Office as needed
Job Qualifications
Bachelor’s degree in a related field required.
Minimum of three years of professional-level experience in a higher education.
Strong interpersonal, communication, and customer service skills.
Proficiency with computer applications (Microsoft Office, databases); ability to learn and use specialized software (e.g., CAMS).
Knowledge of FERPA and commitment to maintaining confidentiality and professionalism.
Excellent organizational and time management skills; ability to prioritize tasks and meet deadlines independently.
Attention to detail and strong analytical skills. Ability to collaborate across departments and contribute to a student-centered culture.
Familiarity with academic structures, degree requirements, and institutional policies preferred
