Job Title : Office Administrator

Reports to : Operations Support Manager
Location : Detroit Lakes, MN
Status : Full-Time
Starting Pay : $20 / hr
Summary : The primary role of this position is to provide outstanding customer service at the front desk by operating a multi-line telephone system and ensure our dealer / homeowner network is completely satisfied with Company products in accordance with contract terms or warranties.
Responsibilities
- Greet and interact with individuals entering the establishment, determine the nature and purpose of their visit, and direct them to the proper person or office or answer questions and provide information.
- Answer all incoming calls and transfer calls to the appropriate personnel or department.
- Provide excellent customer service and follow up on customer needs.
- Receive daily messages from the front desk voicemail and deliver messages or forward calls to appropriate personnel or department.
- Maintain builder listings and distribute updates to personnel as information changes.
- Order office supplies and paper products for restroom, conference rooms, employee lounge, and other needs.
- Maintain and operate office equipment such as photocopier, postage meter, and fax machine; call for service when necessary.
- Distribute employment applications relative to openings.
- Maintain an itinerary of office personnel for days off on the appointment calendar.
- Maintain a clean and neat reception area.
- Monitor visitor access including factory visitor sign-in and distribute visitor PPE.
- Retrieve mail from builder mailboxes and mail out weekly.
- Create memos, correspondence, reports, and other documents as requested.
- Process customer payments.
- Maintain a favorable working relationship with all employees to promote a cooperative and productive work environment.
- Comply with safety rules and use appropriate safety equipment.
- Perform other related duties as assigned.

Education : High school degree or GED; or three to six months related experience and / or training; or equivalent combination of education and experience.Additional Eligibility Qualifications
Language Skills : Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to present information effectively in one-on-one and small group situations.Mathematical Skills : Basic arithmetic and ability to compute rates, ratios, percentages; interpret bar graphs.Reasoning Ability : Ability to carry out instructions and problem-solve in standardized situations.Computer Skills : Knowledge of word processing, spreadsheets, databases, and Internet software.Certificates, Licenses, Registrations : Public Notary Certification.Physical Demands : Regular sitting; occasional lifting up to 25 pounds; required visual acuity.Work Environment & Travel

Schedule
This is a full-time position. Typical hours are Monday through Friday, 8 : 00 am to 4 : 30 pm. Evening / weekend work may be required as job duties demand.
