Job Title : Accounting Administrator

The Accounting Administrator will provide essential support to the Service Manager and the Accounting Department. This role requires the use of various platforms to ensure tasks are completed accurately and efficiently. The Accounting Administrator reports to both the Service Manager and Head of Finance.

Responsibilities

  • Apply pricing and markup to daily submitted paperwork and enter it into necessary platforms like Monday.com and CBRE.
  • Convert handwritten paperwork into digital format.
  • Enter hours worked into Monday.com.
  • Scan vendor invoices and receipts into accounting software for review and email them to Accounts Payable.
  • Apply rentals to invoices and ensure all paperwork, invoices, and receipts have POs.
  • Manage new hire paperwork and oversee safety meetings including logging, reporting, and scheduling.
  • Handle invoicing after a probationary period of 3-6 months.
  • Maintain the overall health and functionality of the office environment.

Essential Skills

  • Knowledge of Excel for equations and conditions.
  • 1-2 years of experience with QuickBooks Online.
  • Professional written and verbal communication skills.
  • Attention to detail and proficiency with numbers and unit conversions.
  • Ability to research parts and apply proper markups.
  • Professional email and phone etiquette.
  • Ability to learn new systems or software quickly.
  • Confidence in performing work and staying on task to meet weekly accounting goals.
  • Additional Skills & Qualifications

  • Experience in accounting, accounts receivable, and office management.
  • Basic Excel and data entry skills.
  • 1+ year of QuickBooks experience preferred, with training available.
  • Character-driven approach over competence.
  • Open to candidates with office management background, but preference for accounts receivable, payroll, and accounts payable experience.
  • Comfortable in a blue-collar work environment, with any trade background being a plus.
  • Professionalism, respect, work ethic, teamwork, and communication are essential soft skills.
  • Work Environment

    Work hours are Monday to Friday, 8 : 00 A.M. to 4 : 30 P.M., with some flexibility for personal commitments. The position is 100% onsite with occasional flexibility if needed. The office consists of three people, and the role involves close collaboration with the Service Manager and service technicians for client invoices. The company is growing and offers opportunities for advancement. Initial training will be conducted onsite for two weeks, followed by 3-6 months of ongoing training.

    Pay and Benefits

    The pay range for this position is $24.00 - $27.00 / hr.

    This is a fully onsite position in Tulsa,OK.
