job_description.job_card.job_descriptionOversee the return of used / remanufactured. Verify core condition, match parts to proper invoices, and process return authorizations. Coordinate timely core shipments to vendors to ensure prompt credit recovery. Monitor outstanding core returns and proactively follow up with internal teams and suppliers. Provide intermittent support to the warehouse team with tasks related to shipping and receiving. Assist in packaging, labeling, and organizing shipments or deliveries when necessary. Maintain shipping and receiving documentation in a neat and orderly manner. Aid in the inspection of incoming parts and returns for damage or discrepancies, ensuring proper documentation is included with shipments. Support unloading and storage of incoming shipments as needed. Liaise with vendors to resolve warranty disputes, clarify return policies, and track claim status. Collaborate with counter sales, warehouse, and operations staff to gather information and ensure proper tagging and tracking of returned items. Communicate regularly with management regarding warranty trends, open claims, and credit reconciliation. Maintain digital and physical filing systems for warranties and core returns. Ensure all returns meet vendor and manufacturer requirements to avoid penalties or denied credits. Assist with internal audits and provide required documentation when requested. Support inventory control efforts by participating in counts, reviewing stock discrepancies, and helping to maintain accurate part data. Perform other inventory-related duties and responsibilities as assigned. 2+ years of experience in warranty or core return administration, preferably in the heavy-duty truck or aftermarket parts industry. Knowledge of remanufactured truck parts and core return policies. Familiarity with industry-specific vendors and warranty procedures. Strong attention to detail and data accuracy. Proficient in Microsoft Excel and Word. Experience with inventory or ERP systems (knowledge of Karmak is a plus). Strong organizational and time management skills. Excellent communication and follow-up abilities. Ability to work independently and take ownership of responsibilities with minimal supervision. Customer service experience in a parts or service environment is a strong asset. Primary work location will be at either Bolingbrook or Rockdale, with regular travel between locations. This position operates in both an office and warehouse-based environment. Regular movement between office and warehouse areas is required for inspecting cores, coordinating returns, and supporting inventory activities. Standard weekday hours, with occasional extended hours during peak periods. Frequent standing, walking, stooping, kneeling, and crouching throughout the day. Regularly required to lift, move, or carry up to 25 pounds. Occasionally required to lift or assist with lifting 75 pounds or more using proper lifting techniques or equipment. Ability to handle and move heavy cores and parts in a safe and efficient manner is essential.
Position Summary :
Action Truck Parts is seeking a detail-oriented and organized Core and Warranty Administrator to join our growing team. Based out of our Bolingbrook and Rockdale, IL locations, this position plays a key role in managing warranty claims and core returns within the heavy-duty truck aftermarket industry. The ideal candidate will have experience with remanufactured components, strong administrative skills, and the ability to work effectively across departments to ensure timely processing and accurate credit reconciliation.
Key Responsibilities
Warranty Claims Administration :
- Process warranty claims with vendors and manufacturers for heavy-duty aftermarket parts.
- Review warranty eligibility and gather required documentation (invoices, photos, failure reports, repair orders).
- Submit claims in accordance with supplier guidelines and follow up on pending credits or denied claims.
- Maintain accurate and organized records of all warranty transactions.
