The Special Assets Portfolio Administrator assists Relationship Managers (RM) within the Asset Recovery Management Department (ARM) with the administrative activities linked to commercial, commercial real estate, commercial construction and / or SBA and Small Business relationships with business owners, developers, contractors and residential contract builders. The incumbent will provide high-quality service to customers (both internal and external) that is prompt and accurate including processing, updating records, vendors, agency reports and other external / internal reporting systems applications.

Job Responsibilities :

  • Coordinate deposit account openings, closings and account maintenance as directed. This includes completing all necessary forms or instructions and sending them to the appropriate departments or customer.
  • Assist ARM Relationship Managers (ARM RM) by processing commercial loan advances, internal transfers, wire transfers, payments, stop payments, and payoff requests.
  • Process all "special handling" (IPost Report / Exceptions) deposit accounts.
  • Reconcile deposit accounts including SPE, internal and FBO accounts monthly.
  • Resolve customer inquiries and / or concerns.
  • Research system for customer or account information as requested.
  • Prepare and distribute daily reports, including delinquent loan account reports daily.
  • Open new matters in Legal Tracker for the submission and payment of legal invoices.
  • Reconcile Recovery and Charge Off GLs monthly and per Bank's accounting guidelines.
  • Process invoices for payments through Oracle.
  • Prepare and distribute monthly spreadsheet of bills to Commercial Loan Servicing to be added to loan fees, ensuring fees have been properly applied and payments credited upon payoff to correct GLs.
  • Prepare expense accruals.
  • Manage the record retention processes by ensuring files and accompanying loan documents are properly and accurately cataloged and marked accordingly within bank loan systems.
  • Perform general administrative duties such as preparing presentations and reports; sending overnight mail packages; and completing expense reports for RM's.
  • Monitor supply inventory for the Asset Recovery Department and re-order when necessary.
  • Perform administrative duties for the SBA team including preparation of repurchase packages, litigation plans, UPP packages, and other administrative duties assigned by the SBA ARRMs.
  • Maintain the monthly projection report.

Minimum Qualifications :

  • Must have a high school diploma or equivalent; bachelor's degree in related field is preferred.
  • 1-3 years of prior experience in a commercial lending, SBA and / or banking role is required.
  • Must have working knowledge of accounting functions including transfers, payoffs, reconciliations, expense accruals.
  • Must have experience handling commercial and / or SBA loan documentation.
  • Must have a working knowledge of Microsoft Office products, including Word, PowerPoint, Excel, Outlook and Teams.
  • Experience with Oracle or other accounts payable software is required.
  • Experience with Legal Tracker is preferred.
  • Must have strong verbal and written communication skills.
  • Salary Range : $47,235.00 - $77,601.75

    Individual base pay may vary on additional factors such as the candidate's experience, job-related skills, relevant education, geographic location, and other specific business and organizational needs.
