Administrative Assistant
The Administrative Assistant (AA) provides departmental clerical and customer service support functions using organizational, relational, and computer skills to meet the needs of internal and external customers. The AA performs patient registration, call-center support, medical records requests, and related functions that meet or exceed customer requirements. The AA also answers phones and interacts and communicates in a professional manner with our patient community.
Key Responsibilities :
1. Provides customer service by responding to frequent and potentially complex questions from internal and external customers in a timely, positive, and professional manner.
2. Assists in supporting daily department work flow through effective coordination, communication, and prioritization of department activities.
3. Conducts data entry and report generation per department procedures and protocols, identifies trends, and escalates issues.
4. Performs administrative duties as assigned, such as filing, ordering office supplies, and sorting and distributing mail.
5. Perform patient pre-registration and front desk registration for all Cancer Care patients.
6. Assists in managing patient flow through effective coordination, communication, and prioritization of patient and department activities. Manages provider orders and coordinates activities with other departments, providers and staff. Informs all customers regarding wait times.
7. Answer phones in the Cancer Care call-center. Respond to frequent and potentially complex questions from internal and external customers in a timely, positive and professional manner. Respectfully address situations or communicate decisions to assure customer concerns or needs are met. Demonstrate professionalism with all customers and vendors.
8. Request and process medical records.
Department / Unit Details : ThedaCare Cancer Care is growing fast with patient volumes and locations in order to serve patients in the communities they live including Appleton, Neenah, Oshkosh and Berlin. The work environment will be fast paced and the patient volume is high at times. Must be able to work independently, self-direct, and be flexible.
Qualifications : High school diploma or GED
Physical Demands : Ability to move freely (standing, stooping, walking, bending, pushing, and pulling) and lift up to a maximum of fifty (50) pounds without assistance. Job classification is exposed to blood borne pathogens (blood or bodily fluids) while performing job duties.
Work Environment : Normally works in climate controlled work environment. Frequent sitting with movement throughout work space. Occasional high noise level in work environment. Possible exposure to communicable diseases, hazardous materials, and pharmacological agents. Occasional contact with aggressive and or combative patients. Use of computers throughout the work day. Frequent use of keyboard with repetitive motion of hands, wrists, and fingers.
