Executive Assistant
The Executive Assistant provides high-level, confidential support to multiple members of the Executive Team. This role requires a broad understanding of company operations and initiative, as well as the ability to independently plan, prioritize, and manage tasks in a fast-paced environment. The ideal candidate is confident, proactive, and resourceful, with strong judgment in navigating a wide range of situations. Strong writing and verbal communication skills, exceptional organizational abilities, and a commitment to maintaining strict confidentiality are essential for success in this position.
Major Duties and Responsibilities :
- Anticipate the needs of the Executive Team and proactively coordinate with relevant individuals and resources to address key issues.
- Provide comprehensive administrative support, including managing calendars and inboxes, preparing expense reports, and arranging travel itineraries and agendas.
- Handle sensitive and confidential information that impacts company operations, sales, personnel, and performance.
- Work with Communications to draft clear, professional communications, including company-wide announcements and executive correspondence.
- Drive meeting effectiveness by preparing agendas, capturing detailed notes, managing action items, and driving accountability on commitments.
- Serve as liaison with internal and external stakeholders, overseeing the production and distribution of relevant materials.
- Work closely with executives to keep them informed of upcoming commitments, priorities, and responsibilities.
- Manage conflicting priorities with a proactive, solution-oriented approach; ensure projects are completed accurately and on time, often under tight deadlines.
- Collect, analyze, and synthesize confidential data into reports, charts, budgets, and presentation materials.
- Perform other duties as needed to support Pegasus' continued success.
- Comply with the requirements of the company's Quality Management System.
Required Skills, Experience, and Education :
Bachelor's degree or equivalent experience.3+ years supporting senior executives (CEO / entrepreneur experience a plus).Advanced knowledge in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).Strong organizational skills with the ability to manage multiple priorities under pressure.Excellent written and verbal communication skills.Demonstrated proactive problem-solving and sound decision-making.High level of discretion when handling sensitive and confidential information.Track record of success in fast-paced, deadline-driven environments.Positive, growth-minded attitude with adaptability to change.Team-oriented approach with a mindset of service and collaboration.Experience planning and executing company-wide events.Flexibility to work evenings and weekends when needed.Desired Skills, Experience, and Education :
