Grapevine MSP Technology Services seeks a highly organized and dependable Administrative Assistant / HR Clerk to join our team immediately.

As the first point of contact at our reception, this individual must possess strong interpersonal skills and a positive, friendly demeanor to create a welcoming atmosphere for visitors and team members.

Requirements

  • Demonstrated professional experience in a similar position.
  • Proficiency in Microsoft Office Suite.
  • Proficiency in QuickBooks.
  • Hands-on experience with office equipment (e.g., fax machines and printers)
  • Professional attitude and appearance.
  • Outstanding skills in both written and verbal communication.
  • Capable of being resourceful and taking initiative when faced with challenges.
  • Excellent organizational skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Customer service attitude.
  • A high school degree and additional certification in Office Management are a plus.

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Guide visitors to the correct individual and department.
  • Screen, answer, and forward incoming phone calls.
  • Maintain a clean and organized reception area, ensuring that all required stationery and materials, such as pens, forms, and brochures, are readily available.
  • Provide basic and accurate information in person and via phone / email.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Procure front office supplies and maintain an inventory of stock.
  • Update calendars and schedule meetings.
  • Coordinate travel arrangements and accommodations and create vouchers.
  • Keep updated records of office expenses and costs.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
  • Post Accounts Payables.
  • Reviewing timecards and processing payroll.
