We are looking for a detail-oriented Operations Specialist to join our team in San Francisco, California. In this long-term contract position, you will play a critical role in managing day-to-day operations, ensuring smooth administrative processes, and supporting both staff and leadership. Responsibilities :

  • Oversee financial processes, including managing accounts payable and receivable, processing tuition payments, and tracking donor contributions.
  • Coordinate payroll and employee benefits while maintaining accurate HR records and supporting staff with leave management.
  • Handle administrative tasks such as drafting communications, managing the school calendar, and providing direct support to leadership.
  • Supervise campus maintenance, vendor relationships, and compliance with annual inspections and documentation requirements.
  • Facilitate internal communication by organizing staff meetings, preparing agendas, and distributing meeting notes.
  • Collaborate on planning and executing fundraising and community events to enhance engagement.
  • Maintain the organization’s systems and ensure data integrity for operations and reporting purposes.
  • Monitor and manage business insurance policies and related documentation.
  • Act as a liaison between faculty and administration to support a cohesive working environment.
  • Ensure adherence to high standards of professionalism and accountability in all operational activities.
  • Proven experience in office management, HR, accounting, and operations.
  • Proficiency in financial software such as ADP, ERP systems, and CRM tools.
  • Strong organizational skills with the ability to handle multiple priorities effectively.
  • Exceptional communication abilities to liaise between staff, leadership, and external stakeholders.
  • Familiarity with compliance requirements and documentation processes.
  • Experience in event planning and coordination for community engagement.
  • Comfortable working in a fast-paced environment with a high level of accountability.
  • Knowledge of auditing and data processing to support operational efficiency.
