Summary :
The Lease Administrator is responsible for the overall tenant database management and recordkeeping. Assist Property Managers and Property Accountants with the administrative and operational functions of the properties. Specific functions include, but are not limited to, lease tracking, lease file compliance and auditing, bank reconciliations, delinquency reporting and Yardi database maintenance. Also supports internal users on daily Yardi tasks.
Key Responsibilities :
- Upload all tenant required documentation and communication into Yardi Voyager.
- Input new tenants for both Properties and Versa Corporate in Yardi Voyager, including lease and billing information.
- Abstract the following into Yardi Voyager : new leases, lease amendments, lease addendums, ground leases, and management agreements.
- Audit all tenant lease files to assure compliance with company policies and procedures.
- Create charges and reconcile monthly tenant billings, providing detailed support for all changes.
- Once monthly billing is approved, issue tenant rent statements.
- Deposit, receipt and upload all tenant and Versa Corporate payments, including daily monitoring of bank accounts for ACH and wires received.
- Post changes to tenant ledgers per the Billing Change Notice and Late Fee Calculation forms provided by Property Managers.
- Reconcile tenant legers and present findings to property managers, administrators, and accountants.
- Prepare and issue delinquency reports.
- Audit Rent Rolls, communicating any findings.
- Track and collect tenant COI.
- Month end close preparation by running reports and performing reconciliations, as applicable.
- Create charges for Corporate to bill back the properties. Draft and circulate Rent Commencement and Tenant Acceptance Letters. Assist Accounting as necessary in reconciling property operating bank accounts in Yardi Voyager.
- Modify existing Yardi reports as necessary; design and build new reports using best practices.
- Modify Voyager security access and customize menu sets based on best practices.
- Assist with other duties as assigned.
