Join a mission-driven team dedicated to supporting small businesses and building stronger, more inclusive communities across Massachusetts. As a Program Administrator within the Community Investment Department, which develops and manages grant programs across key sectors like childcare, arts and culture, real estate, business, entrepreneurship, and healthcare, you will report to the Senior Vice President of Small Business and provide essential administrative and programmatic support for initiatives such as Biz-M-Power, Small Business Technical Assistance, and others. In this role, youll help ensure smooth program operations by coordinating communications, supporting grantees, tracking data, and facilitating the timely and accurate processing of awards and disbursements.
What You'll Do
- Coordinate Grant Processes : Support the end-to-end administration of grant agreements and disbursements by collecting and verifying grantee information, scopes of work, and payment details. Ensure smooth communication between grantees, partners, and internal teams.
- Support Program Operations : Assist with sending grant notifications, contract execution, and payments. Maintain organized, up-to-date tracking systems for awards, disbursements, and project milestones.
- Manage Documentation : Upload and maintain key documents, including applications, grant agreements, account reviews, and internal write-ups, within the electronic filing system.
- Maintain Accurate Data : Keep the project management database updated and assist with performance tracking and impact reporting to support program evaluation and storytelling.
- Assist in Committee Prep : Help prepare materials for statutory committee meetings and internal review panels.
- Support Events & Outreach : Collaborate with the Marketing team to coordinate external events and ensure grantee support materials are consistent and effective.

Strong Organizational Skills : Proven ability to manage multiple priorities with attention to detail and accuracy in a fast-paced environment.Clear Communicator : Excellent verbal and written communication skills with the ability to interact effectively across diverse audiences, both internally and externally.Team-Oriented and Independent : Comfortable working collaboratively across departments while also being self-motivated and proactive in individual tasks.Technologically Proficient : Confident using Microsoft Office tools (especially Excel and Word), and quick to learn new software systems and databases.Culturally Competent : Ability to work effectively in diverse cultural settings with sensitivity to different perspectives.
