Position Overview :

We are seeking a highly organized and detail-oriented Design Operations Coordinator to support our design team and ensure the seamless flow of materials, communication, and project execution from design to installation. This role involves managing documentation, coordinating with various teams, and overseeing the procurement, ordering, receiving, and installation of all design-related materials.

This is a part-time hourly role (24-28 hours / week) with potential to grow into full-time in the future. This is a hybrid role that requires availability during standard business hours (9 : 00 AM - 5 : 00 PM EST) and the flexibility to work onsite-both in the home office and at project locations - as needed to support business needs.

Key Responsibilities

Project Management :

  • Responsible for the timely planning, organization, and execution of all tasks and responsibilities listed below, while coordinating effectively with key stakeholders (clients, receivers, and the design team) from start to finish.

PM Software Ownership

Serve as the Subject Matter Expert (SME) for project management software (Studio Designer), overseeing its setup, usage, and troubleshooting.

  • Configure and set up client profiles and new project details within the design project management software.
  • Ordering, Receiving, Delivery, and Returns / Exchanges of Design Materials
  • Handle the full lifecycle of design materials, including ordering, receiving, coordinating delivery, and managing returns / exchanges.

  • Installation Coordination
  • Oversee the timely coordination and execution of installations related to furniture and decoration projects.

  • Post-Installation Warranties
  • Manage and track post-installation warranties, ensuring timely follow-up and resolution of any issues.

  • Design Material Inventory and Sample Library
  • Maintain an organized inventory of design materials and a sample library for easy access and reference.

    Process & Standards :

  • Set up software presets within the designated tools and create processes that ensure the successful implementation of projects, maximizing efficiency.
  • Distribution :

  • Assist the design team with the documentation of selections according to established standards.
  • Manage and distribute design materials and fixtures to the construction team.
  • Collaboration and Communication

  • Work with key stakeholders on client invoices, statements, and payments.
  • Coordinate with receivers on product ETAs, inspection reports, and any discrepancies.
  • Clearly communicate with key stakeholders to manage expectations, foster collaboration, and allow for the timely resolution of issues, minimizing delays and preventing misunderstandings.
  • Qualifications

  • Education : Bachelor's Degree required.
  • Experience : Minimum of 2 years of experience in administrative work. Knowledge of the design, furniture, and construction industry is a plus.
  • Skills :
  • Excellent organizational skills and attention to detail.

  • Strong communication and interpersonal skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Proactive problem-solving and critical thinking skills.
  • Experience managing inventories and coordinating logistics.
