Inventory Specialist II -TMSD -OPM

Job Summary

Performs administrative work consisting of planning, organizing, and scheduling inventory management activities, including procurement, receipt, storage, issuance, item management, and accounting for a wide variety of equipment / supplies / materials.

Essential Functions

Identifies and prepares orders for inventory, non-inventory, and special-order items; obtains informal quotes for parts, safety supplies, consumables supplies, equipment, and contracted services; monitors status of pending orders and prepares warehouse to receive orders. Ensures accuracy of all vendor materials in Cartegraph OMS by confirming material updates are completed timely and accurately. Receives incoming orders, packages, or deliveries; loads / unloads materials utilizing equipment such as forklift; inspects deliveries to verify receipt of correct materials of the entire order; verifies the accuracy of packing slips and receiving documents; processes and stores packing slips and invoices for shipments received. Performs tasks for the Asset Management System for accurate input / maintenance of data (supplier records, contracts, materials, pricing, etc.), user support, and troubleshooting. Delivers training to department employees and maintains a continuous service improvement plan to progressively optimize the Asset Management System; monitors, develops, and recommends design requirements for inventory system improvements. Monitors purchases / expenditures to ensure availability of budget funds; advises operating section managers of expenditures concerning budget; makes recommendations for future expenditures. Assists with drafting a variety of documents on behalf of the operating section personnel for presentation to the Procurement Services Division, including material bid schedules, sole source supporting documentation, draft notification letters, market data, available market of supplies, materials, and publications, historical information and provide general assistance as requested. ADDITIONAL FUNCTIONS Maintains material files and databases; retrieves data for reports and / or records. Maintains records of Department / Division purchases, including purchase orders, field purchase orders, and modifications, prepares summaries of division activities, requested purchase order reports, and other reports upon request. Maintains organization and cleanliness of shop, supply room, supply yard, or other work / storage areas; organizes storage areas and assigns numbers / labels to stock items to facilitate identification and location of items; maintains security of items stored in or transported to / from storage areas; performs general housekeeping tasks associated with maintaining storage areas and work areas. Recommend improvements to materials management processes by identifying critical path problem areas and coordinating corrective actions with management. Performs other related duties as required.

Minimum Qualifications

High school diploma or GED required. Two (2) years of related experience. Fingerprinting required. LICENSES / CERTIFICATES Must possess and maintain a valid Florida Driver's License with any applicable endorsement(s) to drive a County vehicle as provided in CMA 5805. Forklift Operator license preferred.
