Job Purpose :
The Vendor Onboarding Specialist will focus on vendor research, outreach, and onboarding while also supporting compliance, contract management, and general operations.
Key Responsibilities :
- Vendor Research & Onboarding (Primary) :
- Identify and research vendors using online tools.
- Log vendor data and conduct phone / email outreach.
- Guide vendors through onboarding, documentation, and system uploads.
- Track service coverage, provide updates, and flag completions.
- Compliance & Contract Support (Secondary) :
- Support vendor compliance with client / company standards.
- Educate vendors on requirements and expectations.
- Assist in issuing agreements, amendments, and record tracking.
- Maintain compliance databases and documentation.
- Operations & Project Support :
- Help with RFP submissions and sourcing.
- Provide daily administrative and project support.
- Take on additional tasks as needed.
- Proven experience in administrative coordination or a related role.
- Strong research skills and the ability to identify and evaluate vendors effectively.
- Proficiency with technology, including tools like ChatGPT, Microsoft Copilot, and Google applications.
- Excellent organizational skills with the ability to manage multiple tasks and deadlines.
- Strong problem-solving abilities and a creative approach to addressing challenges.
- Exceptional communication skills, both written and verbal.
- Customer service experience and the ability to maintain effective relationships with vendors and stakeholders.
- Familiarity with facilities coordination and vendor contract management is a plus.
