To support the Occupational Health team in delivering high-quality occupational health services by providing customer centric, administrative support.

Coordinate and manage Occupational Health services, ensuring that colleagues and managers have access to the necessary tools, advice, and resources to promote workplace health and wellbeing. This includes managing communication channels, maintaining systems, and supporting with compliance, reporting, and documentation while adhering to GDPR guidelines.

A critical role within the Wellbeing team, ensuring our colleagues are supported in safety, physical, financial and mental health, from day one and throughout their journey with Maximus.

Closing date - 6pm on 7th October.

Salary : £25,000 - £30,000 per annum

Home based with quarterly travel to team meetings.

  • Manage the Occupational Health advice line and inbox, ensuring all queries from colleagues and managers are handled efficiently and professionally. Provide accurate and timely responses or escalate queries to the relevant OH professionals when required.
  • Maintain the Occupational Health management system, ensuring that all data is stored and processed in compliance with GDPR and organisational policies. Support system updates and improvements to enhance usability and ensure smooth operations. Conduct regular audits to ensure data integrity and compliance.
  • Work closely with IT and procurement teams to maintain accurate and updated lists of accessible workplace equipment, including ergonomic tools, assistive technologies, and other resources. Ensure that equipment availability is effectively communicated and signposted to employees and managers.
  • Maintain and update the Wellbeing intranet pages to ensure that tools, resources, and signposting to services are clear, effective, and easily accessible. Identify opportunities to improve Occupational Health services, tools, and resources to better meet the needs of our colleagues and organisation. Support in the development of content and resources to equip managers and colleagues accessing OH services and understanding health-related procedures.
  • Assist with the collection, analysis, and reporting of OH-related data to support management in identifying trends and making informed decisions. Generate reports on health and wellbeing trends, absence data, and Occupational Health service usage as required. Provide insights and recommendations based on reporting to support continuous improvement.
  • Work across OH, Safety and Wellbeing to support the coordination and delivery of initiatives that ensure our colleagues are supported in safety, physical, financial and mental health, from day one and throughout their journey with Maximus. Assist with the coordination of employee health assessments and follow-ups.
  • Support with the collation and management of health documentation, including requests for medical reports and health information from healthcare providers. Ensure that all records and documentation are handled in accordance with GDPR and organisational confidentiality policies. Maintain an organised filing system to ensure easy retrieval of documents when required.

Qualifications & Experience

Essential

  • Proven administration and customer care experience, working in a department handling sensitive information
  • Strong organisational skills and able to manage multiple activities, working cross functionally to deliver positive outcomes
  • IT literate, competent across Microsoft packages
  • Excellent communication skills across verbal and written communications
  • Knowledge of GDPR and data security
  • Desirable

  • Previous experience working in an Occupational health setting
