Responsibilities : ACCOUNTS PAYABLE :

  • Process high volume of subcontractor, materials, and equipment A / P invoices. Experience with assigning accurate GL account, job code, cost code, and cost type is required.
  • Review material invoices to reconcile quantities and amounts with purchase orders, packing slips, and field tickets.
  • Confirm accuracy of unit pricing, sales tax rates, calculations, and amounts on invoices.
  • Obtain W9s and COIs from vendors.
  • Prepare, process, and distribute A / P check runs.
  • Obtain required lien waivers from subs and suppliers.
  • Reconcile high volume of monthly vendor statements.
  • Prepare month end workpapers.
  • Prepare month end accruals and reversals.
  • Process credit applications for new vendors.
  • Prepare 1099s.

OPERATIONS SUPPORT :

  • Manage fleet fuel cards.
  • Assist with planning, preparation, and execution of all-employee annual safety meeting.
  • ADMINISTRATIVE :

  • Answer incoming phone calls.
  • Greet guests.
  • Process incoming and outgoing mail.
  • Set up physical file folders, filing, and archiving old documents in preparation of off-site storage.
  • Keep central office, kitchen, clothing inventory, and supply cabinet organized and restock when necessary.
  • Working with ownership, act as the point person / key coordinator for all annual Company events.
  • Other duties as assigned.
  • Qualifications :

    Have a thorough understanding of the construction industry. Previous experience with the above tasks is required.

    Current, up-to-date proficiency in Excel, Word, Outlook, and Adobe PDF is mandatory. Strong Excel skills, with experience creating advanced formulas, are required.

    Be self-motivated in managing open tasks while maintaining timely communication with the supervisor on any status updates or issues.

    Environment :

    Physical requirements of this role are those of a typical office job. Frequent typing, reaching, filing, and other administrative tasks should be expected. There is extensive computer monitor use in this role that will require close vision, peripheral vision, depth perception, and the ability to adjust focus. The employee would likely mostly be seated at an office desk in a stationary position while moving frequently to access their coworkers and office equipment. There may be occasional requests to move up to 25 pounds.
