We are looking for a highly organized and detail-oriented Legal Executive Assistant to provide comprehensive support to legal professionals in a dynamic environment. The ideal candidate will excel in managing complex schedules, handling multi-line phone systems, and contributing to business development efforts. This role is based in the Greater Boston area, and offers an opportunity to work in a fast-paced and collaborative setting.
Responsibilities :
- Coordinate and maintain detailed calendars for legal professionals, scheduling meetings, appointments, and deadlines.
- Manage incoming and outgoing communications via a multi-line phone system, ensuring calls are routed appropriately.
- Assist with business development activities, including preparing materials and supporting client outreach efforts.
- Organize and maintain legal documentation, ensuring files are accurate and up-to-date.
- Prepare and format correspondence, reports, and other legal documents with a high degree of accuracy.
- Arrange travel plans, including booking flights, accommodations, and transportation for legal professionals.
- Act as a liaison between internal teams and external clients to facilitate effective communication.
- Handle confidential information with the utmost discretion and professionalism.
- Support the legal team with ad-hoc administrative tasks as needed.
- Monitor and order office supplies, ensuring the workspace is well-equipped and organized.
- Minimum of 2+ years of experience as an executive assistant, preferably in a legal setting.
- Proficiency in managing complex calendars and scheduling systems.
- Demonstrated ability to handle multi-line phone systems efficiently.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication abilities.
- Experience with business development support is a plus.
- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Ability to maintain confidentiality and handle sensitive information with discretion.
