Summary
The Medical Records Technician (Release of Information) plays a critical role in maintaining the integrity, security, and accuracy of veterans' medical information. This position supports the client by reviewing, validating, and processing requests for medical records in compliance with HIPAA , the Privacy Act of 1974 and VHA Directive 1605.01. Technicians will ensure timely, accurate, and confidential release of information while adhering to federal standards and VA policies. The role requires precision, confidentiality, and collaboration with the Privacy Office, HIM staff, and healthcare providers to support efficient and secure data handling for veterans' care.
Responsibilities
- Review, verify, and process all Release of Information (ROI) requests accurately and promptly.
- Ensure all disclosures comply with HIPAA, the Privacy Act, and applicable VA directives.
- Utilize VA software systems including VistA, CPRS, eROI+, and SSA's Electronic Records Express (ERE) portal.
- Log, track, and document all ROI activities within VA systems for auditing and reporting.
- Complete all ROI requests within 20 business days; same-day processing for urgent or STAT requests.
- Maintain minimum 95% accuracy and 100% privacy compliance in all release activities.
- Collaborate with the client's Privacy Office, Health Information Management (HIM) staff, and care providers to standardize and optimize ROI workflows.
- Generate and maintain monthly performance and compliance reports for submission to the Contracting Officer's Representative (COR).
- Participate in quality audits, training programs, and process improvement initiatives.
Qualifications and Requirements :
Citizenship : U.S. Citizenship required.Language : Must be fluent and proficient in English (spoken and written).Experience : Minimum 1 year of full-time experience performing Release of Information (ROI) duties in a medical or healthcare setting.Knowledge : Strong understanding of HIPAA regulations, ROI procedures, privacy and data protection laws, and VHA policies.Technical Skills : Proficiency in VistA, CPRS, and eROI+ systems preferred.Attention to Detail : Exceptional accuracy, organization, and confidentiality when handling sensitive records.Training : Completion of annual VA-mandated training in HIPAA, privacy, computer security, and ROI compliance (documentation required).Continuing Education : Must participate in approximately 8 hours per year of VA-provided in-service or continuing education.
