The Role

The Brand Coordinator & Executive Assistant plays a dual role supporting both the day-to-day execution of brand initiatives and the administrative needs of the SVP of Brand and Chief of Staff. Youll work closely with Blooms SVP of Brand, Chief of Staff and broader brand team to keep projects, communications, and schedules running smoothly. One day you might be coordinating travel and managing calendars, and the next youre supporting campaign prep, product sendouts, or team events. Youre the connective tissue of the brand org proactive, detail-oriented, and excited to grow with a team thats shaping the future of wellness.

Responsibilities

Executive Support & Coordination

• Manage and maintain the SVP of Brand and Chief of Staffs calendars, meetings, and travel logistics.
• Schedule and coordinate internal / external meetings, appointments, and team events.
• Prepare agendas, decks, and meeting materials; take notes and track follow-up actions.
• Draft, proofread, and organize documents, reports, and presentations.
• Handle correspondence, emails, and communication between executives, internal teams, and external partners with professionalism and discretion.
• Process expense reports, vendor communications, and budget tracking.
• Plan and book travel arrangements (flights, hotels, transportation) and prepare detailed itineraries.
• Anticipate executive needs and proactively manage priorities to ensure efficient time management.
• Maintain organized digital files and shared drives for brand and executive projects.
