Overview
The Paulist Center seeks a dedicated Administration & Operations Coordinator to support the administrative and operational functions of the Center. This is a temporary full-time position from Sept 1, 2025 to June 30, 2026 although the position could be extended. The ideal candidate will be detail-oriented, organized, and possess excellent communication skills to support day-to-day operations and special events. This full-time position requires someone who can manage multiple priorities while maintaining a welcoming presence for Center members and visitors. The Administration & Operations Coordinator will work closely with clergy, staff, and volunteers to ensure the smooth functioning of Center activities.
Responsibilities
Support the Pastoral Minister of Liturgy & Music organizing materials for major events like the Christmas Concert, seasonal rehearsals, sacraments, and assisting with the music library / licensing reporting
Support the Pastoral Minister of Family Religious Education and Social Justice with organizing materials and setting up for major events for family religious education, Family Socials, and Intergenerational EventsCoordinate scheduling and communications for sacramental events with families and individualsEnsure up-to-date collection and renewal of Criminal Offender Record Information (CORI) checks for staff and volunteers (annually)Facilitate Virtus trainings for Center volunteers and staff (2x / year) and manage database of trained community membersCommunications and TechnologyWorking with website manager, maintain and update information on the Paulist Center website, including communications about the current pastoral planning process.
Oversee IT systems and troubleshoot basic technology issues for staffSupport the Administrator and building committee in managing IT system changesManage Center social media accounts and digital communications in collaboration with Pastoral StaffFacilitiesSupport property maintenance schedules and vendor access in collaboration with the Administrator and the Building Manager
Maintain inventory of supplies and equipment in collaboration with the Building Manager and Pastoral Minister of Liturgy & MusicEnsure facilities are prepared for regular services and special eventsOtherServe as a welcoming first point of contact for Center inquiries with a special focus on new member welcome
Assist with special projects and events as needed including the annual fundraiser in the springOther duties as assigned by Center leadershipRequirements
Associate's degree in Business Administration, Communications, or related field; equivalent combination of education and experience will be strongly considered. Bachelor's Degree preferred.Minimum 3 years of experience in administrative or operations management, preferably in a non-profit or religious organization settingProficiency with Microsoft Office suite, Google Drive, database software, and social media sitesStrong organizational skills with the ability to manage multiple priorities while maintaining attention to detailExcellent communication skills and professional demeanor with the ability to interact respectfully with clergy, staff, Center members, and vendorsDetails
This position is primarily onsite at the Paulist Center in Boston. This is an hourly non-exempt position with salary range of $60,000-$65,000 annually. This position reports to the Administrator.
