Legal file clerk is an administrative role within our law firm that is responsible for meticulously organizing and maintaining physical and electronic legal documents, including scanning, filing (electronically and manually), retrieving, updating case files, ensuring proper document indexing, and adhering to strict confidentiality standards to support case management, staff, and attorneys. This position requires strong attention to detail, organization and prioritization skills, self-motivation, ability to work independently and with others, and computer and scanning knowledge.
Accurately file legal documents, such as Estate planning documents, contracts, correspondence, emails and attorney notes, and court orders into appropriate case files according to established filing systems. Manually file case files into proper file cabinets daily.
Maintain and update case files with new documents, ensuring proper chronological order, and cross-referencing information within each file.
Promptly retrieve requested legal documents manually and electronically from case files for attorneys and staff, ensuring accurate retrieval and confidentiality.
Enter case information, document details, and relevant metadata into electronic case management systems.
Make copies of legal documents, scan paper documents into electronic format, and manage electronic document storage.
Index legal documents with appropriate matter numbers and names for efficient retrieval.
Maintain file room as we move to a paperless document management system, (including physically culling files and moving files to different file cabinets), answer phone calls internally from staff and attorneys, fill in and answer external incoming calls (as needed), manage incoming and outgoing mail including pick-up and delivery of mail (as needed), maintain office supplies related to file management. Always keep the file room clean and orderly.
Strictly adhere to confidentiality guidelines regarding sensitive legal information within client case files.
