The Position
This position provides administrative, operational, and event coordination support for the Student Services department. Oversees office functions, purchasing, onboarding, scheduling, and serves as a primary contact for students, staff, and the public. Ensures smooth daily operations and excellent service delivery across all Student Services offices. Classification : Non-Affiliated Hourly Staff Duration : Part Time 12 months.
What You Will Do
Serve as the first point of contact for students, staff, and visitors.
Manage the Executive Director's calendar; schedule meetings, interviews, and events.
Coordinate departmental events, including room reservations through 25Live and setup requests via Maintenance Connection.
Oversee requisitions, budget assistance, supplies, and inventory management.
Coordinate onboarding logistics for new employees (IT, procurement setup, office preparation).
Maintain department coverage schedules and provide cross-office administrative support.
Submit maintenance requests and manage event setup logistics for Student Services.
Support departmental communications, meeting scheduling, and general project coordination.
Provide administrative support for special projects, hiring committees, and other Student Services initiatives as needed.
The Successful Candidate Must Have
Associate's Degree.
Three years of department or office operations support / client service experience handling a high volume of tasks and inquiries requiring a similar level of problem-solving and / or prioritizing skills and the ability to handle and safeguard confidential information and records.
Demonstrated proficiency with Microsoft Office Suite and a database system that requires the ability to create standard reports and learn a variety of technology systems used within the College as they evolve.
Prior experience coordinating events and meetings and utilizing mathematical computations to prepare accurate financial forms and / or reports.
Demonstrated ability to establish positive relationships with the general public and other constituents served and excellent verbal and written communication skills.
Even Better If You Have
Prior experience in an administrative support role in an academic or student affairs office within higher education.
Prior experience working with a student database (such as Colleague or Banner).
Prior experience with or knowledge of Maxient software.
