Service Writer / Warranty Coordinator

for our

Garden City location.

SUMMARY

The duties and responsibilities of a Service Writer include assisting the Shop Manager with clerical duties, opening and closing repair orders while ensuring the technician's data is complete and accurate, identifying and processing warranty claims, creating and processing POs, and updating reports. The Service Writer will be required to frequently communicate with mechanics and parts personnel, vendors, and other coworkers.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Assist Shop Manager with data input, reporting, filing, and general office functions.

Open, review and close repair orders.

Open, process, and close purchase orders.

Scrutinize vendor invoices and process accordingly.

Collect data from repair orders and enter in spreadsheets.

Run reports as required or needed.

Interact with vendors, mechanics, and other employees.

Organize, catalog, and manage failed warrantable parts for possible return to vendor.

Accurately estimate the time needed to complete projects.

Comply with Company / agency policy / procedures and maintain a clean and safe work environment.

Wear required personal protective equipment during the performance of job duties when needed.

Work schedule is subject to change depending on business demand.

Performs other duties as assigned.

QUALIFICATIONS :

Strong attention to detail with paperwork and all processing.

Computer literate.

Creative problem solver.

Must be able to manage time, cost, and effort to ensure efficiency.

Must have excellent verbal and communications skills.

Must have a strong ability to multi-task.

Must be detail oriented, well-organized, and maintain a tidy work environment.

Must provide excellent customer service.

EDUCATION AND EXPERIENCE :

A high school diploma or equivalent is required.

Previous service writer and / or warranty experience a plus.

Familiarity with VMRS codes a plus.

PHYSICAL DEMANDS :

While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.

Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.

May be required to lift packages of up to 35 pounds.
