Program Specialist I-Doe
This position performs intermediate level work under the limited supervision of the Program Specialist Supervisor II of the Operations Section in the Bureau of Educator Certification, Division of Public Schools in the Department of Education. This position is responsible for organization and management of a unit shared email box to ensure proper and timely response to online account technical questions from applicants and existing educators received in the Bureau of Educator Certification. This is an independent position responsible for the quality control and quality assurance of information entered into the database system, ensuring that all documents were accurately entered.
Duties and responsibilities include :
- Organization and management of a unit shared email box to assure proper and timely response to online account technical questions from applicants and existing educators received in the Bureau of Educator Certification.
- Quality control and quality assurance of information entered the database system, ensuring that all documents were accurately entered.
- Responding daily to FLCertify emails and other technical inquiries from applicants and existing educators in a timely manner to ensure continued ability to process applications according to agency-expected timeframes.
- Working closely with other team members to ensure correspondence is processed and recorded into the Bureau of Educators Certification database and imaging systems daily.
- Researching applicant files and online accounts to determine applicant status and recommend resolutions of online technical issues for electronic submission of applications.
- Providing documented guidance for applicants and training materials for bureau staff for online application issues.
- Collecting and analyzing online account technical processing data and recommending to the Operations supervisor and Program Director strategies for improved efficiency and effectiveness.
- Preparing reports and other documentation in accordance with Bureau policies and procedures.
- Performing other duties as necessary.
Knowledge, skills and abilities required for the position include :
Knowledge of Florida State Board of Education Rules and procedures governing issuance of Florida Educator Certificates.Ability to organize work activities.Ability to communicate effectively both verbally and in writing.Ability to exercise mature judgment.Ability to work independently.Ability to establish and maintain effective working relationships with others.Ability to prepare forms and spreadsheets for computer entry and analysis.Ability to manage multi-user Outlook accounts including categorization and assignment.The ideal incumbent must be productive under tight timeframes, balance multiple and competing priorities, and maintain goal-directed behavior and performance sometimes under stressful conditions. The incumbent must interact courteously with others. The performance and behavior of all employees must demonstrate consideration of the workload concerns of others and must not negatively affect productivity and morale of the unity. Attendance is an essential function.
