Summary Assure the effective functioning of owned or leased facilities in all states to provide an efficient and safe working environment for employees and their activities by managing resources, services, and processes to meet the needs of the company.
Essential Duties & Responsibilities
- Represent the company in meetings with city, county, and state officials as well as property management companies
- Develop and implement facility management programs
- Conduct and document regular facilities inspections such as elevators, boilers, fire systems, camera systems, badge systems, HVAC systems, generator systems, water, gas, and sewer
- Ensure county, state and federal compliance with health and fire, safety standards and industry, building, codes
- Allocate and manage facility space for maximum efficiency and coordinate intra-office moves
- Supervise maintenance and repair of facilities, grounds and equipment including refurbishment and renovations
- Plan and manage facility central services such as reception, room reservations, security, cleaning, kitchen, vending, break rooms, catering, restrooms, waste disposal, and parking
- Implement best practice processes to increase efficiency
- Obtain quotes and tenders from vendors and suppliers
- Calculate and compare costs for goods and services to maximize cost-effectiveness
- Negotiate contracts to optimize delivery and cost-saving such as utility pricing
- Apply for energy rebates. Work with finance to apply for county, state, and federal Tax credits.
- Manage contractor and vendor relationships to ensure facility management needs are met
- Collaborate with the finance team to verify payment and invoicing align with contract pricing
- Oversee camera, badge, security, and HVAC systems
Ensure delivery schedules, quantity, and quality criteria are met by contractors and vendors
Manage facilities budget and ensure headcount is aligned with staffing needsOversee environmental health and safety including business continuityRespond to facility and equipment alarms and system failuresAssist in the site selection, space planning, and implementation of all new owned or leased facilitiesServe as corporate liaison with property management companies and landlords for all leased facilitiesPerform on-site inspections of all facilities on an annual basisOther duties as assignedEducation
Bachelor’s Degree or equivalent work experience preferredMinimum Qualifications
7 -10years of facilities management, engineering, or related experience such as project management, business management, environmental protection, or construction management4 years of supervisory experience4 years of working with health, safety, and environmental regulationsSkills / Knowledge
Experience applying the principles and practices of project management and business administrationWorking knowledge of financial principles and practices including tax credits and deprecationsFundamental understanding of electrical and mechanical systems including HVAC software control systemWorking knowledge of networks and digital communicationsFamiliarity with the procurement and contracts processUnderstanding of security, camera, and fire systemsExperience in construction, maintenance, and all facets of facility operationTransportation, routing, or dispatching experience and / or knowledge of transit systemGood working knowledge of computers including experience with Microsoft Office Word, Excel, and OutlookWork Environment / Physical Demands
Must possess strength, stamina, and mobility to perform physical activities such as using basic hand and power tools, drive a motor vehicle as well as lift and move materials and equipmentThis position requires working both indoor and outdoor in all weather conditionsThe role necessitates the ability to listen and speak clearly to customers and other employeesTravel may be required up to 10%
