Administrative Technician (Open)

Join a dynamic team at the State of Nebraska's Department of Health and Human Services, Division of Public Health as a full-time Administrative Technician. This role is not only central to daily operations but also plays a key part in preparing the Division for the upcoming migration to a new vital records system. What you'll do :

As an Administrative Technician, you will :

Support daily operations

  • Perform general office tasks including answering phones, managing correspondence, and maintaining records.
  • Provide excellent customer service to internal staff, external partners, and members of the public.
  • Maintain confidentiality and accuracy in handling sensitive records and documentation.

Strengthen vital records & data integrity

  • Document and map current administrative and vital records workflows for system migration
  • Create and update Standard Operating Procedures (SOPs) to support both current and future system use
  • Assist with validation and cleansing of legacy data to ensure accuracy and integrity
  • Support system migration & change management

  • Serve as a "super user" for both current and future vital records systems
  • Participate in pilot testing and user acceptance testing (UAT), providing feedback to improve usability and performance
  • Develop and maintain training guides, quick reference materials, and FAQs for staff and stakeholders
  • Monitor project milestones related to the system migration and communicate progress with leadership
  • Proactive problem-solving & coordination

  • Identify potential operational risks related to system changes and propose mitigation strategies
  • Act as a liaison between end-users, project staff, and IT to ensure smooth communication and problem resolution
  • Provide recommendations for process improvements that enhance efficiency and service delivery
  • Requirements / qualifications :

    Minimum qualifications :

    Coursework / training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and / or technical support work, including use of computer software such as word processing, spreadsheets, and database management.

    Preferred qualifications :

    1-2 years of experience performing administrative support

    Proficiency in Microsoft Office Suite (including Access and PowerPoint)

    Experience handling confidential or sensitive records in accordance with internal policies and procedures (1 year or more)

    Familiarity with project tracking tools or data validation processes
