Job Description
The Manager of IM Applications is responsible for managing the staff and applications for their assigned portfolio, which may include the EHR, ERP, or other advanced clinical, business, or research systems. This position is responsible for maintaining and monitoring the daily throughput and operations of information management systems and standards to support clinical, business, research, and academic functions of the organization. The Manager will supervise a team of Analysts and will be responsible for leading and managing the team that provides system-level support (installation, configuration, maintenance, reporting and production support) for assigned applications. The Manager will serve as primary point of contact for the assigned end user groups and is responsible for providing IM leadership in these areas.
Essential Job Functions
Department Leadership
1. Works with departments to garner support for operational improvements, ensuring that stakeholders from the business and / or clinical community are engaged. Identifies potential operation improvements for all implemented systems.
2. Provides services to help the organization effectively manage information using process improvements and reengineering techniques.
3. Builds and maintains a strong partnership and cohesive support with entire hospital community.
4. Establishes and operationalizes KPIs for assigned applications, with a focus on meeting department and organization priorities.
5. Works with IM Leaders to follow end to end change, incident, and problem management processes.
6. Maintains a management role in mentoring and developing staff & leaders to align with organization, department, and staff personal goals.
Team Leadership
7. Performs job functions adhering to service principles with customer service focus of innovation, service excellence and teamwork to provide the highest quality care and service to our patients, families, co-workers, and others.
8. Ensures TJC and HIPAA compliance standards are enforced.
9. Directs staff in the modification and enhancement of existing applications and / or in analyzing, developing specifications, designing, and documenting assigned projects.
10. Develops, implements, and monitors Information Management service delivery to assigned customer groups.
11. Implements and measures improvement for the team they are supervising. Ensures that their assigned team(s) adheres to departmental project management, technical, support, and other defined standards.
12. Participates in change control management; monitoring and ensuring that system changes are following appropriate process.
13. Manages maintenance and monitors function of assigned staff and application systems, to ensure high standards of system performance and availability.
14. Implements and measures adherence to customer service standards.
15. Maintains knowledge of organizational and HR guidelines and requirements associated with team management (interviewing, hiring, performance management evaluations, etc.).
16. Exhibits strong understanding and experience with clinical and business workflows and build related requirements.
17. Facilitates and participates in regular customer meetings with all assigned customer groups.
18. Fosters teamwork and camaraderie among project and application teams and assists with the coordination of activities to support these efforts across all IM department areas.
Governance & Stakeholder
19. In partnership with their Director, prepares cost estimates for current and proposed projects, including budget estimates, project plans, and staff assignment, for assigned teams.
20. Participates in strategic and tactical planning and assists with integration of specific departmental needs into the overall information management plan, including through steering committee(s) on projects applicable to their area.
21. Maintains and collaborates with Director on short- and long-term portfolio management.
Vendor & Budget
22. Monitors the operational plans and projects in support of the Information Management Department plan; monitors and reports variances to project and operational budgets. Provides communication regarding progress and outcomes for leaders and other organizational areas.
23. Works in coordination with Directors in the management of vendor relationships. Manages consultants involved in assigned projects.
24. Maintains responsibility for managing assigned training and travel budget, along with vendor budget if applicable to area.
