Administrative Coordinator II

The Court Services Department at the South Carolina Judicial Branch is seeking a motivated and detail-oriented individual to join our team as Administrative Coordinator II.

This position serves as the Assistant to the Director of Court Services, providing high-level administrative support and coordinating operations within Court Services. Working under the direct supervision of the Director, the Administrative Coordinator II assists with assignments that require discretion, judgment, and the interpretation and application of policies, procedures, statutes, and court rules.

Essential Duties and Responsibilities of The Position

This job bulletin outlines the primary duties of this position but is not intended to be an all-inclusive list. Other responsibilities may be assigned as needed.

  • Provide administrative and clerical support to the Court Services Division, including planning, coordinating, and prioritizing tasks to meet changing deadlines.
  • Serve as primary administrative support for the Director of Court Services, including calendar management, scheduling meetings, preparing agendas, and coordinating travel and related documentation.
  • Act as the Division's communication hub, maintaining professional interactions with internal and external stakeholders; route inquiries appropriately and escalate complex issues to the Director.
  • Prepare, maintain, and file records, reports, correspondence, and forms in compliance with SCJB policies, statutes, and retention schedules; serve as the Division's subject matter expert for OnBase.
  • Assist with Human Resources processes, including onboarding and offboarding staff, scheduling, and ensuring equipment and supplies are provided.
  • Support fiscal and procurement activities by creating purchase requisitions, processing payments, maintaining documentation, monitoring supply needs, and reporting updates to the Director.
  • Conduct research, draft reports, and develop statistical summaries critical to Division operations; recommend and implement improvements to reporting and administrative processes.
  • Represent the Division and Director on committees, work groups, and meetings; contribute to policy discussions, record notes, and follow through on action items.
  • Coordinate mail, email, and telephone communications; provide backup coverage for the court switchboard as needed.
  • Plan, implement, and oversee special projects or programs to support Division operations.
  • Develop and maintain effective working relationships across all levels of court administration and with external partners.
  • Provide Spanish-language phone coverage when staff interpreters are unavailable (preferred but not required).

Minimum and Additional Requirements

  • Associate's degree or high school diploma (or equivalent).
  • Five (5) years of related administrative experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Experience providing executive-level administrative support.
  • Required Knowledge, Skills, Abilities and Other Characteristics

  • Knowledge of agency policies, procedures, rules, regulations, and program services.
  • Thorough understanding of office management principles, practices, and equipment.
  • Ability to coordinate diverse administrative functions and manage multiple priorities effectively.
  • Ability to work independently, exercise sound judgment, maintain confidentiality, and use discretion with sensitive information.
  • Excellent planning, organizational, and time management skills, with proven ability to meet deadlines.
  • Exceptional verbal and written communication skills; proficiency in English required.
  • Ability to establish and maintain effective working relationships with internal staff, state agencies, counties, outside partners, and vendors.
  • Ability to interact courteously, tactfully, and professionally with the public and staff.
  • Strong reliability and dependability with minimal absences.
  • Self-motivated and capable of working autonomously with initiative and accountability.
  • Commitment to advising leadership of problems, concerns, or recommendations in a timely manner.
  • Willingness and ability to travel occasionally, including overnight (in-state and out-of-state).
  • Preferred Qualifications

  • Previous executive-level administrative experience.
  • Experience as an office manager or administrative supervisor.
