An Event Coordinator is needed for a contract opportunity in Westerville, Ohio. The role assists in planning and executing trade shows, conferences, customer events, and internal meetings. Key duties include : Event Support & Logistics, Marketing & Lead Management, Administrative & Vendor Support, Cross-Team Collaboration, and On-Site Execution.
Duties :
Event Support & Logistics
- Coordinate venue and vendor research, booth setup, and shipment logistics
- Track event registrations, schedules, and collateral
- Manage hotel room blocks, travel coordination, and hospitality logistics
- Monitor budgets and assist with cost tracking
- Submit creative services requests using client’s Wrike project management system
Marketing & Lead Management
Upload and track event leads using CRM (Oracle Eloqua)Partner with the sales team to ensure timely and accurate lead follow-upSupport promotional campaigns and social media efforts related to eventsEnsure all materials align with branding and campaign goalsAdministrative & Vendor Support
Order and manage promotional item inventoryMaintain event-related budgets, invoices, and vendor contractsResearch new venues, suppliers, and competitive event insightsCross-Team Collaboration
Work closely with internal teams (sales, marketing, product, and operations) to align on event goalsAct as a point of contact for vendor and partner communicationSupport post-event reporting and analysis to drive continuous improvementOn-Site Execution
Participate in pre-event site visits, providing notes, photos, and detailed recapsSupport event setup, breakdown, and on-the-ground coordinationEnsure every event meets client’s branding, service, and quality standardsSkills :
1-2 years of experience in event coordination, marketing, or project managementStrong organizational and time management skillsExcellent written and verbal communication abilitiesDemonstrated ability to multitask and thrive under pressureProficiency in Microsoft Office (Word, Excel, PowerPoint, Teams) and Google WorkspaceExperience with Smartsheet is a plusHigh attention to detail and a creative, solution-oriented mindsetA team player who enjoys working collaboratively across departmentsAssociate’s degree or equivalent experienceReference : 1033115
