Job Overview : We are seeking a highly organized and professional Assistant Clinic Manager with experience in the medical aesthetics, dermatology, or plastic surgery industry. The ideal candidate is detail-oriented, tech-savvy, and passionate about delivering an outstanding client experience. To support the Area Manager in all aspects of operational management of the practice to ensure the smooth running of the Practice.
Key Responsibilities
- Provide high level administrative support to the Practice
- Day-to-day clinic premises management
- Day-to-day operational support of the patient facing roles in the clinic
- Excellent communication with the Practice Manager
- Daily planning and execution with front desk leader to maximize :
Patient scheduling using business rules and related software interfaces
Developing and implement action plans to drive patient outreach initiatives in order to fill schedule(s)Handle inbound and outbound calls, emails, and inquiriesCoordinate with medical staff to ensure smooth patient flow and efficient operations.Monitor inventory of medical and office supplies, ensuring timely reordering while maintaining appropriate stock.Bi-monthly inventory process and counts are streamlined and accurateAssist in maintaining compliance with medical regulations, licensing, and HIPAA requirements.Train and support front desk and administrative staff to uphold high service standards.Address patient concerns and ensure an exceptional client experience.Collaborate with marketing teams to support promotions, social media efforts, and patient engagement strategies.Act as a liaison between clinical staff and administration to improve efficiency.Qualifications
Minimum 2+ years of experience in management or supervisory role within a medical aesthetics, dermatology, or plastic surgery practice is required.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and practice management software is required.Knowledge of EMR systems and medical billing processes is required.Strong organizational and multitasking abilities.Excellent leadership and problem-solving skills.Ability to work in a fast-paced, high-end environment while maintaining attention to detail.Strong communication & interpersonal skills to manage staff and patient relations both written and verbal.Knowledge of beauty or wellness services is a plus.Ability to maintain client confidentiality and adhere to HIPAA regulations.Benefits
