Flight Coordinator

Perform specialized, technically skilled, non-routine Flight Coordination, including scheduling and dispatching corporate aircraft owned or operated by the Corporation. Work includes office duties, including administrative support to the Corporate Aviation Department. Also, responsible for financial record keeping.

Maintain liaison with corporate headquarters for all executive transport activities using the corporate aircraft fleet or charter aircraft. Coordinate flight schedules including aircraft handling, ground services, and transportation arrangements to ensure seamless executive travel experiences.

Arrange customs and ground handling services for international trips, collaborating with vendors and Pilot in Command (PIC) to ensure compliance with all regulatory requirements for operations into or over international territories. This includes coordinating aircraft fueling contracts and tracking fuel usage reports to maximize cost savings.

Dispatch aircraft and maintain flight following responsibilities for company aircraft and supplemental charter aircraft. Work closely with department managers and executive admins to ensure maximum utilization of aviation assets while prioritizing crew duty time requirements, fatigue management, and safety as primary goals.

Assist with flight crew scheduling, arrange crew lodging and commercial travel as required by the department. Work with the Lead Flight Attendant to schedule Flight Attendants and resolve scheduling issues, maintaining teamwork and crew resource management as core values.

Provide comprehensive administrative support including verification and processing of trip-related invoices, entering information into accounting software for month-end analysis, assisting with yearly budget forecasts, and serving as the primary point person for the department's flight scheduling software and IT needs.

Knowledge of Word Processing software, Excel, Access and / or other database software. Ability to solve practical problems and deal with a variety of variables. Proven ability to analyze data and use critical thinking skills to think outside the box.
