Job Summary / Objective :

The Project Coordinator plays a critical role in supporting the planning, execution, and successful delivery of infrastructure projects, with a strong emphasis on permitting and market expansion. This position is ideal for a detail-oriented professional with prior coordination experience who thrives in fast-paced environments and is ready to contribute to strategic growth initiatives. The role ensures smooth communication and coordination across teams and provides hands-on exposure to the full project lifecycle, particularly in launching operations in new geographic areas.

Primary Responsibilities :

  • Support project and program teams with administrative and operational tasks, including data entry, report generation, and documentation management.
  • Assist in creating and maintaining project plans, schedules, and documentation.
  • Lead permitting coordination efforts, including scheduling inspections, tracking permit statuses, and ensuring compliance with local and regional requirements in new markets.
  • Track project milestones, deliverables, and deadlines, providing timely updates and reporting to stakeholders.
  • Coordinate meetings, prepare agendas, and distribute meeting minutes.
  • Act as a point of contact for internal teams and external partners to facilitate clear and consistent communication.
  • Identify and address potential issues to keep projects on track and aligned with timelines.
  • Partner with project controls and accounting to reconcile receipts and costs for materials, rentals, and subcontractors to ensure accurate job costing.
  • Assist in scheduling subcontractors, rentals, and other operational support activities as needed.
  • Ensure new equipment is properly tagged and entered into the current asset tracking system.
  • Assist in project close-out document processing and final reporting.
  • Other duties as assigned.

Minimum Education and Experience :

  • High School Diploma or equivalent.
  • 2-5+ years of experience in project coordination, permitting, or operations support roles.
  • Preferred and Additional Eligibility Qualifications :

  • Experience supporting infrastructure projects, permitting processes, or market expansion initiatives is highly desirable.
  • Associate or Bachelors degree or equivalent work experience preferred.
  • Skills Required :

  • Proficiency in Microsoft Office and an ability to learn project tracking software.
  • Excellent organizational and administrative skills.
  • Strong interpersonal and communication abilities.
  • Ability to manage multiple tasks in a dynamic, fast-paced environment.
  • Detail-oriented and proactive problem-solving approach.
  • Work Environment / Physical Demands / Travel Required :

  • Remote position based in the Mountain Time Zone (MT).
  • Ability to sit for extended time periods.
