Are you an experienced and dedicated Personal Assistant who thrives in high-performance, fast-paced environments? We are seeking a seasoned professional to support an extremely busy executive with a dynamic international lifestyle. This role requires extensive travel throughout Italy, the USA, and other global destinations for up to 11 months of the year.

The successful candidate will be resourceful, proactive, and highly adaptable someone who

can anticipate needs, manage multiple priorities, and maintain discretion at all times. This is a

hands-on role, ideal for someone who enjoys managing logistics, health and wellness routines,

and day-to-day operations with precision and care.

Responsibilities :

  • Prepare and manage all meals according to specific nutrition plans, including weighing portions, batching, and preparing workout meals.
  • Shop for groceries frequently (5+ times per week) to ensure fresh ingredients and updated meal plans.
  • Manage daily supplements and nutritional schedules.
  • Clean, maintain, and coordinate repairs or replacements for cycling and fitness equipment.
  • Keep the kitchen organized and well-stocked at all times.
  • Coordinate healthcare appointments, manage health records, and organize treatments such as physiotherapy or massage.
  • Handle errands, personal shopping, and deliveries.
  • Provide driving support for appointments, errands, and short trips.
  • Oversee guest relations and hospitality, including greeting visitors, coordinating accommodations, and maintaining a welcoming environment.
  • Collaborate with executive and logistics teams to maintain detailed schedules, manage bookings, and coordinate international travel.
  • Oversee household management including vendors, maintenance, and property upkeep.
  • Research and source new accommodations or property rentals when needed.
  • Handle digital and administrative tasks such as travel reimbursements, online research, and project tracking.

Hours of Operation :

  • Tuesday Friday : 8 hours / day (subject to extension as needed)
  • Saturday & Sunday : 8 hours / day (for weekly preparation)
  • Monday : Approximately 3+ hours (potential day off periodically)
  • This position requires flexibility to work beyond scheduled hours, depending on travel and business needs.
  • Training : Comprehensive onboarding will be provided to ensure familiarity with the executives preferences, routines, and systems.
  • The employer adheres to current health and safety protocols during travel and on-site operations to ensure staff safety and well-being.
  • Requirements / Preferred Qualifications

    Requirements :

  • Minimum 10 years of experience as a Personal Assistant and / or Executive Assistant supporting
  • private individuals or families.
  • Non-smoker with a health-conscious lifestyle.
  • Fluent in English (spoken and written).
  • Highly organized, detail-oriented, and able to perform under pressure.
  • Proven ability to handle sensitive and confidential information with discretion.
  • Valid drivers license, passport, and full-time access to a personal vehicle.
  • Ability to travel internationally for extended periods.
  • Comfortable being on call and working 67 days per week.
  • Preferred Qualifications :

  • Experience managing wellness-focused or high-performance environments.
  • Proficiency in Italian and / or Spanish.
  • Well-connected in the Miami area.
  • Prior experience working with health, fitness, or lifestyle-oriented executives.
