Your mission :
The Global Sales Office (GSO) is responsible for positioning Virgin Hotels Collection as a market leader in the ultra-luxury (VLE) and luxury lifestyle (VH) space by driving awareness through targeted segment strategies. They manage the brand’s global strategic partnerships and generate incremental sales through new client acquisition and overall account management.
The Global Sales Coordinator provides vital administrative and operational support to the Global Sales Office (GSO), ensuring the smooth execution of daily tasks, sales activities, and client interactions. This role serves as the backbone of the sales function, supporting managers and directors in driving revenue, coordinating group business, and maintaining excellent client relationships across the hotel group portfolio.

Sales Support & Coordination :
- Assist Sales Managers and Directors with preparing proposals, contracts for VLE hotels.
- Manage RFPs, consortia, and corporate account submissions on behalf of the sales team.
- Track production from key accounts and prepare sales reports, dashboards, and performance summaries.
- Support sales team with Delphi / Salesforce (or other CRM) data entry (group bookings only), ensuring accuracy and timely updates.
Client Relations & Communication :
Serve as a point of contact for incoming inquiries, redirecting to appropriate sales managers as needed.Maintain professional, timely correspondence with clients, travel advisors, and corporate partners.Create, edit, and distribute B2B newsletters to travel advisors, corporate accounts, and industry partners to keep them informed of promotions, new openings, and brand initiatives.Distribute client communications, offers, and collateral across all relevant channels.Group Coordination :
Serve as liaison between the sales, reservations, events, and operations teams to ensure seamless delivery of group bookings for VLE hotels.Monitor group blocks, pickup reports, cutoff dates, and attrition policies to maximize revenue while ensuring client satisfaction.Provide pre- and post-event support, including sending thank-you notes, gathering client feedback, and tracking repeat business opportunities.Administration & Reporting :
Coordinate quarterly sales reports for Vice President of Global SalesMaintain the department’s shared calendars.Support for contracts, billing, and commission requests in collaboration with finance and reservations.Maintain sales infrastructure including Delphi, CVENT, Group Proposals, Agency Intranet sites, etc.Event & Trade Show Support :
Assist in coordinating logistics for industry trade shows, client events, and sales missions.Manage shipping and inventory of collateral, promotional materials, and giveaways.Update CRM with contacts and post trip updates.Track ROI from sales events, including lead follow-up and conversion reports.Background must-have :
Bachelor’s degree in Hospitality, Business, or related field (preferred).1–2 years of experience in hospitality sales, events, or administrative support (hotel group experience a plus).Strong organizational and multitasking skills with a high attention to detail.Excellent communication skills (verbal, written, and interpersonal).Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word) and sales systems (Delphi, Salesforce, Amadeus Agency360 / Demand360, etc.).Ability to work collaboratively across teams in a fast-paced environment.Customer-service mindset with a proactive and solutions-oriented approach.Collaborative team player with a confident, professional demeanor and the ability to manage feedback and resolve conflict constructively
