Position Title : Engineering Department Assistant

Work Location : North Chicago, IL 60064

Assignment Duration : 2 Years (Possible Extension)

Work Schedule : 20-32 hours per week, flexible between 7 : 00 AM - 4 : 00 PM (3 days onsite per week; no weekends or night shifts)

Work Arrangement : Hybrid (Minimum 3 days onsite per week)

Position Summary

Global Engineering Assurance (GEA) is seeking a detail-oriented and proactive Engineering Department Assistant to support daily operations of the engineering team. The role focuses heavily on asset management and maintenance processes within IBM Maximo (approximately 80% of the workload).

Background & Context

  • Supports the Global Engineering Assurance (GEA) department.
  • Primarily office-based with occasional field duties.
  • Requires strong proficiency in IBM Maximo for service requests, work orders, asset tracking, and reporting.

Key Responsibilities

Maximo Support

  • Create, manage, and close Service Requests (SRs) and work orders in IBM Maximo.
  • Track assets, preventive maintenance (PM) schedules, and generate reports.
  • Maintain accurate records of equipment, inventory, and maintenance activities.
  • Documentation & Reporting

  • Prepare and edit technical documentation, specifications, reports, and correspondence.
  • Generate spreadsheets and reports in Microsoft Excel (formulas, pivot tables, data visualization).
  • Format technical documents and templates in Microsoft Word .
  • Use Cognos to create detailed reports for management.
  • Project & Team Support

  • Assist engineers with technical documents and project support.
  • Coordinate project schedules, monitor progress, and ensure deadlines are met.
  • Communicate effectively with internal teams and external vendors.
  • Support troubleshooting of technical issues and coordination of repairs.
  • Escort visitors in industrial and manufacturing environments, when required.
  • Ensure compliance with safety standards and company policies.
  • Qualifications & Experience

  • 3-5 years of experience in a construction or engineering support role.
  • Maximo expertise : Creating SRs, work order management, asset tracking, and reporting.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Advanced skills in Excel (pivot tables, formulas, data visualization) and Word (templates, formatting).
  • Proficiency in Cognos reporting.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Experience with other CMMS platforms is a plus.
  • Basic knowledge of AutoCAD or similar design software preferred.
  • Technical writing skills a strong advantage.
